The Role
We are looking for an organised, proactive, and personable Office Administrator to cover maternity leave for approximately 12 months. This is a fantastic opportunity to join a busy accountancy practice and play a key role in the smooth day-to-day running of the office.
While the role is initially offered on a fixed-term basis, there is the potential for it to become a permanent position at the end of the contract, subject to business needs and performance.
Key Responsibilities
- Providing general administrative support to partners, managers, and the wider team
- Answering and directing incoming calls, and managing general email correspondence
- Greeting clients and visitors, and ensuring a professional first impression of the firm
- Scheduling and coordinating appointments, meetings, and diary management for partners and staff
- Preparing, formatting, and proofreading client correspondence, reports, and documents
- Managing incoming and outgoing post, couriers, and deliveries
- Maintaining accurate client records and filing systems (both digital and paper-based)
- Supporting with client onboarding, including AML/KYC document collection and record-keeping
- Ordering office supplies and liaising with suppliers and building/facilities contacts
- Assisting with billing administration, including preparing invoices and chasing outstanding paperwork
- Supporting HR-related administrative tasks (e.g., holiday records, onboarding new starters)
- Providing ad hoc support to partners and accountants during busy periods (e.g., tax season)
- Ensuring compliance with the firm's data protection, confidentiality, and filing procedures
What We're Looking For
- Previous office administration experience, ideally within a professional services environment (accountancy, legal, or similar) — desirable but not essential
- Excellent organisational skills with the ability to manage multiple priorities and deadlines
- Strong written and verbal communication skills
- A professional, friendly telephone and client-facing manner
- Good working knowledge of Microsoft Office (Word, Excel, Outlook)
- Discretion and a good understanding of confidentiality, given exposure to sensitive client and financial information
- A proactive, "can-do" attitude and willingness to support the wider team as needed
- Strong attention to detail and accuracy
Pay: £25,420.00-£30,000.00 per year
