The Administration & Operations Assistant will provide support to the Executive Assistant, with specific responsibility for the administration of the company fleet details and support with the commercial properties.
Our ideal person would be highly organised with the ability to multitask, use their initiative, manage and prioritise their own workload, and be comfortable working independently. They must have a high level of accuracy and attention to detail
They would have a positive, can-do attitude with a willingness to learn and grow.
Being a confident driver with a full UK driving licence is essential.
Property & Facilities Support
- Assist with administration of Company properties
- Liaise with managing agents, contractors, and tenants as required
- Track maintenance issues, compliance certificates, and inspections
- Maintain property-related records and documentation
- Support tenancy administration and renewals where required
- Assist with raising rent invoices, update property management systems, and assist with monitoring and reporting on rent arrears
- Travel to properties when required
Fleet & Vehicle Management
- Manage company vehicle records, compliance, and documentation
- Coordinate servicing, MOTs, repairs, handovers and inspections
- Liaise with leasing companies, garages, and insurers
- Monitor driver documentation and vehicle usage records
- Support replacement and onboarding of new vehicles
- Drive company vehicles to and from garages and service centres, including the collection and return of vehicles, parts and documentation as required
- Assist with coordinating and scheduling vehicle valeting as required
Executive & Office Support
- Provide general administrative support, including managing correspondence, filing, printing, data entry and office organisation
- Assist with scheduling and coordinate meetings; Prepare and serve refreshments
- Maintain and update records, reports, databases, and contact lists
- Assist with travel arrangements, including booking transport, accommodation, and preparing itineraries
- Assist in the organisation of internal and external events
- Monitor and manage incoming communications (emails, calls, post)
- Liaise with suppliers, clients, and other stakeholders
- Run errands and assist with personal tasks as needed
- Provide ad hoc support as needed
- Maintain confidentiality and discretion in all aspects of the role
Advantageous
