Job Overview
We are seeking a dynamic and organized administrator to join our team! In this vital role, you will serve as the central point of contact for scheduling, coordinating, and managing service requests.
Responsibilities
- Monitor incoming contact and assigning them to the correct team.
- First point of contact for service work required.
- Manage and coordinate all aspects of service operations, including scheduling, dispatching and customer service using company procedure and software to log interactions with external contacts.
- Ensure timely and efficient delivery of services to customers. This includes monitoring emails and updating clients on service status.
- Maintain accurate records or service request, work orders and customer interactions.
- Raise jobs with relevant engineers (internal or sub-contractors).
- Process job sheets using company software.
- Invoice customers following completed jobs using company software.
- Provide quotes to customers for work required following engineer attendance.
- Enquire and order spare parts with technical assistance, if required.
- Process card payments and follow company procedure in regard to GDPR.
- Maintain and nurture client relationships and follow up regularly to ensure their satisfaction.
- Respond to complaints and attempt to resolve. Escalate if required, and report to management.
Requirements
- Exceptional communication skills with the ability to clearly convey information via phone, email, and in person.
- Proficiency in data entry, typing accuracy, and maintaining detailed records with high attention to detail.
- Ability to multitask efficiently in a fast-paced environment while demonstrating excellent phone etiquette.
- Office experience
- Microsoft skills proficiency.
