Our public sector client is seeking a Business Support Officer to provide high-quality administrative support across a range of council functions. This role will contribute to the delivery of professional, flexible, and customer-focused business support services, ensuring high standards of efficiency and service delivery.
Your Duties:
- Provide comprehensive administrative and secretarial support to council officers, acting as a key point of contact for departments as required.
- Deliver confidential business support services across multiple departments, ensuring seamless cover and adherence to agreed service standards.
- Process and record applications, transactions, and queries in line with approved procedures and statutory requirements.
- Provide excellent customer service, including reception duties, liaising with internal teams, external agencies, and members of the public, and resolving customer queries and complaints.
- Maintain and manage data and document systems, including filing, archiving, retrieval, accuracy checking, and transfer of data in line with service requirements.
- Prepare and process correspondence, reports, and meeting documentation, including agendas, minutes, and follow-up actions.
- Support financial administration, including processing payments, invoices, bank lodgements, purchasing, stock control, and assisting with claims and budget monitoring.
- Organise and support meetings, projects, and events, ensuring smooth delivery and compliance with council standards.
- Assist in the operation and monitoring of business support and quality management systems, recommending and implementing improvements.
- Contribute to staff support activities such as inductions, training, and peer mentoring, promoting high standards of service delivery.
- Ensure compliance with health and safety, equality, data protection, and all relevant council policies and procedures.
- Undertake other duties as required to support the evolving needs of the Business Support Service.
Your Profile:
- A minimum of 5 GCSEs (Grades A–C) including English, or equivalent qualifications.
At least 12 months’ relevant administrative experience, to include:
- Providing business support within an office environment.
- Delivering high standards of customer service in line with organisational procedures.
- Preparing and maintaining accurate documentation, correspondence, and records.
- Strong organisational and IT skills, with the ability to prioritise workloads effectively.
- Excellent communication skills, both written and verbal, with the ability to liaise confidently with colleagues, customers, and external stakeholders.
- A flexible, team-oriented approach with a commitment to delivering a professional and responsive service.
Additional Information:
- Full time, Temporary.
- 36 hours per week, Monday-Friday.
- Downpatrick location.
