Key Tasks and Responsibilities
- Provide day-to-day administrative support for HND and other Higher Education programmes.
- Maintain accurate student records, attendance information, assessment records and academic documentation.
- Support student enrolment, registration, induction and progression processes.
- Assist with pre-enrolment enquiries and provide appropriate information and guidance to prospective students.
- Support students throughout their studies by responding to administrative queries and directing them to the appropriate academic or support staff where necessary.
- Assist with the administration of assignments, submissions, assessment records and results.
- Monitor assignment submission deadlines and follow up with students and academic staff where required.
- Support the preparation and organisation of assessment boards, internal verification and other academic quality processes.
- Liaise effectively with lecturers, programme leaders, students and management to ensure academic administrative requirements are completed on time.
- Maintain organised electronic and paper-based student files and ensure documentation is complete and up to date.
- Assist with student progression, including progression to Level 5 and top-up degree programmes.
- Support the preparation of reports, spreadsheets, correspondence and other programme documentation.
- Assist with student attendance monitoring and follow up on attendance or engagement concerns in accordance with organisational procedures.
- Analyse, record and track student data accurately using relevant software, databases and student management systems to monitor attendance, academic progress, achievement and progression.
- Provide administrative support for student welfare and disciplinary matters, maintaining appropriate confidentiality.
- Assist with timetabling, classroom arrangements, meetings and other programme activities.
- Support Programme/School/College activities, including student meetings, one-to-one sessions and events where required.
- Communicate professionally with students, staff, awarding organisations and external partners.
- Support the continual improvement of administrative systems and processes.
- Maintain confidentiality and comply with data protection, safeguarding, Health & Safety and organisational policies and procedures.
- Participate in staff training, appraisal and professional development activities as required.
- Undertake other reasonable administrative duties appropriate to the role.
Person Specification
The successful candidate should have:
- A Bachelor’s degree or equivalent qualification is essential.
- A degree in Business, Education, Administration, Management, or a related discipline would be advantageous.
- Strong organisational and administrative skills.
- Good written and verbal communication skills.
- Excellent attention to detail and accuracy.
- Confidence using Microsoft Office, particularly Word, Excel and Outlook.
- The ability to maintain accurate records and manage multiple deadlines.
- A professional and supportive approach when communicating with students.
- The ability to work independently as well as part of an academic and administrative team.
- Strong data analysis skills for monitoring student performance and progression.
- Experience in accurate data recording and management.
- Experience in tracking student attendance, submissions and academic progress.
- Strong IT skills, including the use of databases, software and student management systems.
- An understanding of confidentiality and data protection requirements.
- Previous administrative experience within a college, university, training provider or other educational environment would be advantageous.
- Experience with HND or Higher Education administration would be desirable.
