Commercial Administrator
Location: Office-Based, moving to hybrid upon successful completion of probation
Hours: Part Time, 20 hours per week, to be completed over 5 days
Salary: £26,013k Pro-Rata - 20 hours per week, £13.34 per hour

At AEC, we are a well-established compliance business, looking after the built environment and workplace supporting our customers to manage the risks from asbestos, water and fire safety and occupational hygiene services where working processes meet the need to work safely. We are looking for a Commercial Administrator to join our dynamic team. This is a varied role that combines bid administration, commercial coordination and data management to help support the continued growth of our business.
You will assist with the strategic coordination of high-value contract bids, and support the overall commercial team with the monitoring of automated systems, such as anniversary jobs and bid administration functions. If you have a keen eye for both detail and numbers — this is the job for you.
What You'll Be Doing
Working closely with the Bid Manager, you will play an important role in coordinating our tender process, as well as supporting our overall growth across wider commercial processes across the business. This includes:
- Supporting the administration and coordination of tender submissions from opportunity through to submission
- Utilising tender search tools, such as Find a Tender, to identify key, relevant opportunities to obtain new contracts and support our growth
- Supporting the scheduling and monitoring of recurring commercial works, including anniversary reviews and automated workflows.
- Be the engine behind our bidding process — tracking, reviewing, and submitting tenders that help grow our business.
- Use AI tools to filter opportunities and drive efficiencies.
- Maintaining bid trackers, commercial reports and opportunity pipelines
- Monitor and manage portals, upload documents, chase stakeholders, and ensure every submission is fully complete, compliant, and on time.
- Keep tabs on industry trends and build powerful pipeline reports for our sales team.
- Work side-by-side with our Bid Manager to proof, polish, and upload winning proposals.
- Liaising with stakeholders and other colleagues across the business to gather information required for bid submissions.
- Providing administrative support to the wider commercial team as required
