Role Overview
We are looking for an enthusiastic and organised Practice Administrator Apprentice to join our friendly and growing accountancy practice. This is an excellent opportunity to develop a wide range of business administration skills while playing an important role in supporting our team and delivering an outstanding experience for our clients. As the first point of contact for many clients, you'll help keep our office running smoothly by managing day-to-day administrative tasks, coordinating client communications and supporting our accountants with the essential behind-the-scenes work that allows them to focus on delivering expert advice. Core Responsibilities
Reception
- Answer incoming telephone calls and direct them appropriately
- Welcome clients and visitors to the office
- Managing meeting rooms and arrange refreshments for client meetings
- Handle incoming and outgoing post
Client Administration
- Set up new client records
- Chase unsigned engagement letters
- Maintain client contact information and update client records when details change
- Maintain client files (physical and electronic)
Document Management
- Upload documents received from clients
- Organise documents within the drive
- Scan and index paperwork
- Prepare files for accountants before meetings
Client Communication
- Send standard emails requesting records
- Chase missing information for accounts and tax returns
- Send reminders for deadlines
- Manage Year End Database
- Update to clients following agreed communication to client workflow
- Respond to routine administrative enquiries
Practice Management Support
- Monitor shared inboxes.
- Allocate administrative emails.
- Record client correspondence.
Companies House & HMRC Administration
- Download HMRC correspondence
- Upload HMRC notices to client files
- Monitor government gateway post
- Chase missing authorisations
Tax Return & Accounts Administration
- Chase signed accounts and tax returns.
- Upload signed documents to client files
Office Administration
- Order office supplies.
- Keep communal areas organised.
- Manage printer supplies.
- Maintain filing systems.
- Coordinate shredding and confidential waste.
