Responsibilities
- Welcome visitors in a friendly and professional manner, ensuring they are directed appropriately.
- Answer incoming calls promptly and courteously, directing enquiries to the relevant departments.
- Manage appointment scheduling and calendar organisation using Microsoft Office and Google Workspace tools.
- Perform data entry tasks accurately using programmes such as QuickBooks and other relevant software.
- Handle correspondence, including emails, letters, and other communication channels.
- Maintain organised filing systems both digitally and physically to ensure easy retrieval of information.
- Assist with general administrative duties such as photocopying, scanning, and ordering office supplies.
- Ensure the reception area remains tidy, welcoming, and professional at all times.
Requirements
- Proven office experience or administrative background is preferred.
- Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications.
- Experience with data entry, clerical tasks, and basic bookkeeping (e.g., QuickBooks) is advantageous.
- Excellent organisational skills with the ability to prioritise tasks effectively.
- Outstanding phone etiquette coupled with clear verbal communication skills.
- Typing speed of at least 40 words per minute with high accuracy.
- Demonstrated organisational ability to manage multiple responsibilities efficiently.
- Previous experience in a customer-facing role is desirable but not essential.
