Type of Position
Full-time (5 days 9.30am – 5.30pm including Saturdays). Weekday off in lieu of working on a Saturday. Occasional evenings for events.
Education Requirement
GCSE or A’level in History of Art would bring more confidence to the role. High level proficiency in Office based software and social media. Three years’ experience in an administrative role preferably (but not exclusively) within a marketing/PR/interior design/creative environment. UK driving licence essential.
Description of Role and Details
This position offers an exciting opportunity to work closely with both the founder and the Gallery Manager of Fine Art Commissions, supporting the daily running of the gallery.
The position involves ensuring that the Directors personal and business activities run smoothly and efficiently, and that all communications are handled with careful consideration and discretion. In addition, this position also includes a range of responsibilities in support of the Gallery Manager by assisting in commission enquiries, client/artist liaison, events, exhibitions and artwork shipping logistics.
Successful candidates should have excellent organisational and time management skills as well as a flexible approach to work. Tact and discretion, for dealing with confidential information is fundamental to the role. Attention to detail is a must! Training will be provided for: Art Logic database, Canva, Xero (only a basic understanding is required).
Gallery and Office Administration
Assist the gallery manager with tasks supporting the administrative and/or logistical running of the gallery and office where applicable
General office administration to include record keeping, filing, copying, picture labels and updating the database.
Monitor the gallery email and field any queries
Scan and save receipts/invoices to shared online folders for bookkeeper
Maintaining office supplies and stationery
Provide refreshments and assistance to clients and visitors where necessary
Receive/send parcels (couriers, UPS, FedEx, Royal Mail)
Digitise any relevant information in hardcopy
PA Administration
Support when needed with travel, diary management, expenses, and any other assistance which may be required in relation to art fairs, formal viewings, and special events.
Assist with administrative tasks re: Directors’ other business interests in London, Scotland and Wales.
Events Coordination
Liaise with caterers and outside suppliers to organise gallery dinners and events.
Support the Gallery Manager with reviewing RSVP lists and ensuring press releases and checklists for the current exhibitions are current.

Pay: £25,420.00-£28,000.00 per year
