Job Summary
Milton Abbas Surgery is a friendly, patient-focused rural GP practice serving the local community in Mid Dorset. We are seeking a motivated and reliable individual to join our team in a dual Reception & Dispensary Administrator role on a fixed-term basis as maternity cover until 1 September 2027.
This varied role offers the opportunity to work across both our reception and dispensary teams, providing excellent service to patients while supporting the smooth day-to-day running of the practice.
This position may be particularly suitable for a school leaver, student taking a gap year, or someone looking to gain valuable experience in a healthcare setting, although applications are welcomed from candidates of all backgrounds and experience levels.
Main Duties and Responsibilities
Reception
- Welcoming patients and visitors in a professional, friendly and courteous manner.
- Handling telephone enquiries and directing patients appropriately.
- Booking, amending and cancelling appointments.
- Processing incoming clinical and administrative documents accurately and efficiently.
- Maintaining and updating patient records.
- Supporting the administrative functions of the practice as required.
- Maintaining patient confidentiality and handling personal data in accordance with GDPR and Practice policies.
Dispensary Administration
- Serving patients at the dispensary hatch and issuing dispensed prescriptions.
- Providing a professional and helpful point of contact for patients collecting medication.
- Processing prescription requests and related administrative tasks.
- Liaising with clinicians, patients and pharmacies regarding prescription queries.
- Supporting stock control and general dispensary administrative processes.
- Ensuring accurate record keeping and compliance with practice procedures.
- Handling prescription and patient information confidentially and in accordance with GDPR, NHS guidance and Practice procedures.

- Demonstrate a commitment to providing excellent patient care and customer service.
- Be confident using IT systems and administrative software.
- Work effectively both independently and as part of a team.
- Understand the importance of confidentiality and data protection.
- Hold a minimum of GCSE Grade C/Grade 4 (or equivalent) in English and Maths.
Desirable
- Previous experience in a healthcare, reception, administration or customer service environment.
- Knowledge of GP practice systems and NHS services, although full training will be provided.
