Job Summary
Clean Green Cleaning Services Ltd is looking for a highly organised and proactive Administrative Assistant to join our busy office team. This role is ideal for someone with previous administration experience, preferably within the commercial cleaning, facilities management, or service industry.
You will provide day-to-day administrative support to our Operations Managers, helping to ensure the smooth running of contracts, scheduling, payroll administration, recruitment, and client communications. The successful candidate will be able to work efficiently in a fast-paced environment, manage multiple priorities, and maintain a high level of accuracy and professionalism.
Key Responsibilities
- Answer incoming telephone calls and respond to email enquiries in a professional and timely manner.
- Provide administrative support to the Operations and Management teams.
- Maintain accurate employee, client and contract records.
- Assist with scheduling staff, organising holiday and absence records, and updating rotas.
- Prepare letters, reports, meeting notes and other business correspondence.
- Process timesheets and assist with payroll administration.
- Support recruitment activities, including arranging interviews, processing new starter paperwork and maintaining personnel files.
- Update company systems with attendance records, audits, inspections and job information.
- Liaise with cleaners, supervisors, suppliers and clients to ensure information is communicated accurately.
- Order office supplies, uniforms, equipment and cleaning materials as required.
- Assist with invoicing, purchase orders and general finance administration where required.
- Maintain filing systems, both electronic and paper-based, ensuring records remain accurate and compliant.
- Carry out general office administration, including scanning, photocopying and document management.
- Support the wider office team with additional administrative duties as required.
Experience & Skills - Essential
- Previous experience in an administrative or office support role.
- Excellent organisational skills with the ability to prioritise a varied workload.
- Strong communication skills, both written and verbal.
- High level of accuracy and attention to detail.
- Confident using Microsoft Office, particularly Outlook, Word and Excel.
- Ability to work independently and as part of a team.
- Professional and friendly telephone manner.
- Ability to remain calm and organised in a busy office environment.
Desirable
- Previous experience working within the commercial cleaning, facilities management or property services sector.
- Experience supporting an operations or scheduling team.
- Knowledge of payroll administration, timesheets or HR administration.
- Experience using Sage, Microsoft 365 or other office management systems.
- Understanding of COSHH, health & safety documentation or compliance administration.
