About Us
Cyclone Air Conditioning & Ventilation Ltd is a growing HVAC and Refrigeration contractor based in Armagh, delivering installation, sales, and maintenance projects across the UK and Ireland. Our work spans retail, hospitality, healthcare, and commercial sectors — from complex VRF systems to full ventilation fit-outs. We're expanding, and we need someone to help us improve efficiency and further develop our processes.
The Role
We're looking for an organised Operations Manager with great attention to detail who become a key part of the team — someone who can own invoicing, keep compliance airtight, and make sure nothing falls through the cracks while our engineers are out on site. This isn't a "make the tea and answer the phone" role. You'll be the person who knows what's happening across every live job, chases what needs chasing, and builds the systems that let us scale.
What You'll Be Doing
- Invoicing & payments: Raising invoices, chasing payments, tracking retention and VAT across UK/Ireland jobs
- Compliance: Keeping certifications, insurance, RAMS, and subcontractor documentation up to date and ahead of deadlines
- Scheduling: Coordinating engineer diaries, site access, and deliveries to ensure jobs run on time
- Quoting support: Working with the Pricing Team to support client quotes and tracking follow-ups
- Communications: First point of contact for clients and suppliers — professional, timely and responsive
- Systems: Owning our admin tools and workflows (training provided), helping the progressively automate
What We're Looking For
- Strong organisational skills — you don't let things slip
- Comfortable with numbers and spreadsheets
- Confident communicator, on the phone and in writing
- Tech-savvy and quick to pick up new software
- Construction, trades, or contracting admin experience is a big plus (but not essential — attitude matters more)
- Someone who takes ownership rather than waiting to be told

Pay: £35,000.00-£43,501.85 per year
