Sales and Guest Relations Administrator - Dickins Edinburgh Ltd
We’re recruiting a friendly, organised, property lover to join our small team working as our Sales and Guest Relations Administrator.
Dickins are Edinburgh's best quality short term and corporate letting company. We were established by Louise in 1998 and have a long standing reputation for quality. We pride ourselves on our service, care and high standards. Everything is driven by a commitment to do the best job we can. We manage wonderful homes in the city.
This is an interesting, wide-ranging role and a great opportunity for anyone who enjoys sales, administration and loves property, working in a quality environment.
You’ll be working alongside our Sales and Guest Relations Executive, Flo. You’ll handle enquiries and process bookings, make sure our guests have paid, return some damage deposits, send communications to guests before and after their stay, managing our arrivals and departure list as well as handling guest keys.

Some of the admin roles you’ll be responsible for involve finances and so having a high level of attention to detail is vital.
To be a great fit, previous office work is essential and a background in letting or hospitality will be helpful. Our business is about people and homes, so being a people person is important. You’ll meet people from all walks of life and from all parts of the world. You’ll be an excellent communicator on the phone and via email. You are naturally helpful and friendly. An unflappable, organised multi-tasker will enjoy this job. You need to have high standards and a proactive, practical, can-do attitude to life. Nothing we do is the result of one person's work. We rely on each other to have done our jobs well and so you need to be a team player. As we’re a small team, you’ll need to muck in and help others in the team. Great customer service comes naturally to you and building strong, long-lasting relationships should be something you enjoy.
Once you're settled into the role, you'll be able to work from home one day a week.
We have a lovely office dog, Stella, a collie spaniel cross, so you need to be OK with dogs.
This role involves:-
- Handling enquiries and processing bookings.
- Ensuring guests have paid.
- Returning some guest damage deposits.
- Communicating with guests.
- Managing our arrival and departure list.
- Managing guest keys.
- Nurturing relationships with guests and owners.
- Offering great service, so that first time guests want to book with us again.
- Working alongside our Sales and Guest Relations Executive and other team members.
- Having the emergency phone on a shared basis once a month for a week.
Experience and Skills
To apply for this role you must be/have:
- A minimum of 2 years office based experience.
- A letting or hospitality background is advantageous.
- Organised with very strong attention to detail.
- Know Edinburgh – we are Edinburgh experts and you need to bring those skills with you to this role.
- Rewarded by customer satisfaction.
- A people person – you’ll be meeting people from all walks of life from all over the world.
- A great communicator – both on the phone and in writing via email.
- A good problem solver.
- Confident.
- The ability to stay calm and focused under pressure – our world can be fast-paced and we need to find solutions quickly. Multi tasking is a daily requirement.
To be considered for this role you must:-
- Live in Edinburgh
- A confident telephone manner
- Excellent written and verbal skills
- Sound experience of Microsoft Word and Excel. We currently use the SME operating-system and it would be advantageous if you have experience of this

Pay: £26,000.00-£30,000.00 per year
