Overview
We are seeking a professional, organised, and proactive Administrative Assistant to join our team.
Key Responsibilities
To provide administrative and client care support to the Team, ensuring the efficient management of client matters and day-to-day office operations. The role involves acting as a first point of contact for clients, supporting fee earners with administrative tasks, and assisting in the smooth progression of private client matters.
Client Communication
- Answer incoming telephone calls and deal with basic client enquiries professionally and efficiently.
- Monitor and respond to incoming emails, forwarding messages to the appropriate fee earner where required.
- Make and receive calls to clients and third parties to obtain information, provide updates, and chase outstanding matters.
- Maintain a high standard of client care at all times.
- Meeting clients in the office where required to retrieve documentation.
File and Matter Administration
- Open new client matters in accordance with firm procedures and compliance requirements.
- Set up and maintain physical and electronic client files.
- Ensure client records and databases are updated accurately and promptly.
- Assist with file closing procedures when required.
Document Management
- Prepare, print, scan, copy and collate legal documents and correspondence.
- Arrange for documents to be posted or dispatched to clients and third parties.
- Ensure documents are correctly filed and archived.
Trust Administration Support
- Assist with the registration of trusts through the Trust Registration Service (TRS).
- Support fee earners in gathering and recording information required for trust registrations and updates.
Diary and Appointment Management
- Book, amend and cancel client appointments as required.
- Send appointment confirmations and reminders to clients.
Team Support
- Provide general administrative assistance to solicitors and staff within the Team.
- Assist with workload prioritisation to ensure deadlines are met.
- Undertake any other administrative duties required to support the team and wider firm.
Skills and Experience
- Previous administrative or office experience desired.
- Excellent telephone manner and communication skills.
- Strong organisational skills and attention to detail.
- Good IT skills, including Microsoft Office applications.
- Ability to manage multiple tasks and prioritise workload effectively.
- Professional and client-focused approach.
This role is offered on a part-time basis. Where a salary is advertised, it will be adjusted on a pro-rata basis in line with the successful candidate's agreed hours of work and working pattern.
Pay: £24,500.00-£26,000.00 per year
