The Role
This is a critical role responsible for ensuring every property acquired by Student Homes Management is transitioned into the portfolio with complete, accurate and trusted information.
Working across the Investment, Asset Management, Development and Operations teams, you will coordinate acquisitions from an operational perspective, verify tenancy and compliance information, manage technical due diligence, maintain high-quality property data and continuously improve the systems and processes that support our growing portfolio.
This role is not simply about managing documents. It is about taking ownership of asset information, ensuring accuracy and creating confidence that the business can rely on the information used to make decisions.
Key Responsibilities
Acquisition & Asset Onboarding
· Support the Investment Team throughout the acquisition process.
· Review acquisition packs and identify missing documentation, operational risks and outstanding actions.
· Verify property information before and following completion.
· Maintain onboarding trackers and ensure all outstanding actions are driven through to completion.
· Coordinate the successful transition of newly acquired properties into the operational portfolio.
Tenancy Verification & Compliance
· Review and verify historic, current and agreed tenancy information.
· Check Assured Shorthold Tenancy Agreements (ASTs), Right to Rent documentation and supporting tenancy records for accuracy and completeness.
· Ensure tenancy information supports operational management and, where required, Certificates of Lawful Use.
· Coordinate and monitor statutory compliance documentation, including:
o HMO Licences
o Fire Risk Assessments (FRAs)
o Electrical Installation Condition Reports (EICRs)
o Gas Safety Certificates
o EPCs
o Planning documentation
o Other statutory compliance records
· Liaise with managing agents, operators, consultants, contractors and solicitors to obtain missing information and resolve outstanding issues.
Technical Due Diligence & Survey Coordination
· Coordinate the instruction and delivery of technical surveys, including:
o Technical Due Diligence (TDD)
o Measured Surveys
o Reinstatement Cost Assessments (RCAs)
o EPC Assessments
o Fire Risk Assessments
o EICRs
o Other specialist surveys as required
· Coordinate access, monitor progress, manage deliverables and ensure reports are received, filed and issued to the relevant internal teams for review.
Asset Information Management
· Maintain complete, accurate and well-structured digital records for every property using SharePoint.
· Ensure key asset information is captured and maintained, including:
o Floorplans
o Technical surveys
o Business Plans
o Scope of Works
o Planning documentation
o Compliance certificates
o Warranties
o Asset photographs
o Operational documentation
· Take ownership of property information within Deepki, ensuring data is complete, accurate and maintained.
· Support reporting through Tableau and other business systems.
Process Improvement
· Take ownership of continuously improving asset onboarding and information management processes.
· Review existing procedures and identify opportunities to improve efficiency, quality and consistency.
· Recommend and implement new procedures, controls and standards.
· Help establish best practice for asset information management across the business as the platform continues to scale.
Skills & Experience
Essential
· Experience within residential property, PBSA, Build to Rent, commercial real estate or a similar property environment.
· Strong organisational skills with exceptional attention to detail.
· Experience coordinating multiple stakeholders and managing competing priorities.
· Excellent written and verbal communication skills.
· A proactive approach with the ability to take ownership and deliver outcomes.
· Proficiency in Microsoft Office and SharePoint.
Desirable
· Knowledge of HMO licensing and residential property compliance.
· Experience supporting acquisitions, portfolio integration or mobilisation.
· Experience using Deepki, Tableau or similar property systems.
· Experience within an institutional property owner, managing agent, consultancy or real estate legal environment.
