The role
Reporting to the Commercial Manager the Travel Administrator is responsible for the day to day administration and associated tasks within the administration team relating to travel and dealing with the general administration relating to all aspects of the department as agreed by the Commercial Manager.
The Travel Administrator role is essential in delivering a smooth and organised service, which underpins and facilitates all commercial activity of the department.
This permanent role is based upon 40hrs/week between Monday and Friday, working from home though UK travel may occasionally be required.
Key accountabilities
- Coordinate and book all business travel arrangements including flights, hotels, rail, car hire, and other transport for employees across the organisation within required timescales and as cost effectively as possible.
- Ensure all bookings align with company travel policies, budgets, and approval processes.
- Process travel booking requests in line with agreed company service level agreements.
- Support with management of travel accounts.
- Source cost effective travel options and present suitable choices in line with business needs and budget considerations.
- Act as a point of contact for general travel queries and provide support with changes, cancellations, or disruptions where required.
- Ensure all administration within the department is kept up to date and is produced in an accurate and timely manner as instructed.
- Support with processing travel-related invoices, checking for accuracy, and assisting with expense tracking.
- Maintain accurate travel records and support the preparation of basic reports on travel activity and spend.
- Support with general administrative tasks within the Commercial Team if needed.
- Assist with the continuous improvement of departmental supply chain practices and processes.
- Assist with the monitoring and reporting of supplier delivery performance.
- Provide assistance to the Purchasing team in tender exercises and any purchasing related tasks as required.
- Undertaking any other duties which may be requested by Management, for which training and/or an explanation has been provided and understood.
Skills & experience
- Strong administrative background with proven skills and exceptional organisation capabilities.
- Demonstrable logical and analytical approach, with a good level of numeracy and IT skills.
- Possess good knowledge (or have the ability the learn quickly) of how to operate CRMs and other internal systems.
- Capacity to cope with quickly changing requirements, with the ability to work calmly under pressure when dealing with competing priorities.
- Excellent written and verbal communication skills
- Good interpersonal skills, with the ability to and build positive relationships at all levels.
