We are an established £5M turnover business with 60 staff based in the Midlands. As we continue to grow, we're looking for an experienced Executive Assistant to support our two Directors, helping them stay organised, manage their workloads, and keep each day running smoothly.
This varied, hands-on role is at the heart of our business, providing comprehensive support to both Directors, helping to ensure the smooth day-to-day running of the company. You'll manage busy diaries and inboxes, coordinate priorities, and keep everything organised behind the scenes.
Alongside executive support, you'll arrange client meetings and dinners, oversee corporate gifting, maintain our CRM, assist with Google Workspace administration, and work with managers across the business to support our social media activity. No two days are the same, making this an ideal opportunity for someone who enjoys variety, takes initiative, and thrives in a fast-paced, collaborative environment.
We're looking for someone who is naturally organised, confident, and approachable, with excellent communication skills and previous Executive Assistant experience. You'll be trusted with confidential information, enjoy building positive relationships with colleagues and clients, and be comfortable juggling priorities and projects as required

Key Responsibilities
1. Executive Support & Time Leverage (The Core)
- Calendar & Inbox Management: Own and optimise the diaries of both directors. You’ll protect their time, resolve scheduling conflicts, and triage their inboxes to ensure they only focus on high-priority items.
- Meeting Coordination: Prepare agendas, collate pre-reading materials, take minutes during key leadership meetings, and proactively chase action items from department heads.
- Gatekeeping: Serve as the primary point of contact for the directors, filtering internal and external requests and solving minor issues before they reach their desks.
- Travel & Logistics: Plan and book complex travel, accommodation, and detailed itineraries.
2. Business Development & Client Relations Logistics
- Client Touches & Gifting: Manage our client relationship touchpoints. This includes sourcing high-quality client gifts, managing the gifting budget, tracking key milestones (birthdays, work anniversaries), and coordinating logistics.
- Event Management: Take full ownership of organising client entertainment, dinners, roundtables, and networking events (booking venues, managing guest lists, invitations, and catering).
- CRM Caretaker: Ensure client contact details, interaction history, and follow-up tasks are accurately logged and kept up to date in our CRM
3. Operations & Culture Support (The "Secret Weapon" Tasks)
- Project Chasing: Act as the directors' eyes and ears - chasing department heads for weekly reports, KPI updates, and project deadlines.
- Internal Communications: Draft company-wide announcements, newsletters, or team updates on behalf of the directors.
- Team & Culture Logistics: Coordinate team-building events, summer/Christmas parties, and track staff milestones.
- Social Media Management: Manage and maintain our company social media channels, working closely with managers across the business to ensure content is engaging, up to date, and accurately reflects our brand, services, company news, and career opportunities.
About You (Skills & Experience)
- Proven EA/PA Experience: You have at least 3–5 years of experience supporting senior leaders, ideally in a fast-paced SME environment.
- Shared Support Mastery: You are highly organized and comfortable balancing the competing priorities of two distinct directors without getting overwhelmed.
- Proactive Mindset: You don't wait to be told what to do; you anticipate what’s needed next. You are a natural problem-solver.
- Excellent Communication: You have exceptional written and verbal skills, with the emotional intelligence to build strong relationships with both internal staff and external high-value clients.
- Tech Savvy: Proficient with MS Office/Google Workspace, CRM systems, and task management tools (e.g., Slack, Trello, Asana).
