The role
Safenames is looking for a motivated and organised HR Assistant to join our People & Culture team. This is an entry-level HR role providing administrative and secretarial support across the full employee lifecycle, from onboarding new starters to maintaining accurate employee records and supporting day-to-day HR operations.
Working under the supervision of the Head of Legal & HR, the HR Assistant will be the first point of contact for employee queries, applying company policies with care, tact and impartiality. The role requires strong attention to detail, a high level of discretion and a genuine commitment to delivering an effective HR service to all Safenames employees.
Responsibilities
Onboarding & Employee Lifecycle Administration
- Manage and co-ordinate the end-to-end onboarding process for new starters, including background checks, reference gathering, right-to-work verification and new starter paperwork.
- Assist with inductions, ensuring new employees have access to the information, systems and resources they need from day one.
- Administer HR documentation across the employee lifecycle, including offer letters, right-to-work letters, contract amendments, bonus and pay review letters and offboarding paperwork.
- Maintain accurate and up-to-date employee records, including the employee directory, onboarding tracker, onboarding toolkit and employee hub.
- Communicate effectively with employees and management regarding HR policies, benefits, and procedures
- Monitor and update time-sensitive employee records such as visa and right-to-work expiry dates.
Onboarding & Employee Lifecycle Administration
- Act as a first point of contact for employee queries on HR matters, including company benefits, policies, procedures and general HR processes.
- Respond to employee queries with tact, impartiality and professionalism, signposting to the relevant policy, procedure or employee hub article where appropriate.
- Assist with employee relations procedures (disciplinary, grievance and performance) in an administrative capacity, including drafting invitations, taking notes and sending formal correspondence.
Data & Information Management
- Maintain and update all HR documentation and policies, ensuring records are accurate, current and stored in accordance with data protection requirements.
HR Policy & Service Support
- Implement established HR procedures and processes in accordance with Safenames’ policies and People & Culture standards.
- Apply policy knowledge, drawing on HR training or prior HR experience, to employee situations, using judgement about how policy applies to individual circumstances.
- Identify and flag gaps or issues in existing policies or procedures to HR Advisers, providing proactive insight to support HR service improvement.
Other duties
- Undertake any other administrative tasks of a similar level and nature as required by the Head of Legal.
- Support mandatory training and compliance activities as required.
- Contribute to a positive, inclusive and professional working environment within the People & Culture team.
Selection Criteria
Essential
- High level of written and verbal communication skills, including the ability to communicate with tact, impartiality and professionalism in sensitive situations.
- Strong organisational skills and attention to detail, with the ability to manage multiple tasks and priorities accurately under supervision.
- Experience in an administrative, secretarial, policy or customer-facing service role, demonstrating a commitment to accuracy and confidentiality.
- Ability to handle sensitive and confidential information responsibly, including personal data, in line with data protection requirements.
- Proficiency in Microsoft 365 applications (Outlook, Word, Excel, Teams) and the ability to learn new systems quickly.
- Demonstrable ability to follow established procedures and recognise when to escalate a matter to a more senior colleague.
- Genuine interest in a career in HR and a commitment to developing HR knowledge and skills in role.
Desirable
- CIPD Level 3 qualification (or currently studying towards it), or demonstrable equivalent HR knowledge or experience.
- Prior experience in an HR, People or recruitment administration role.
- Familiarity with HR information systems or employee management platforms (e.g. Monday.com or equivalent).
- Basic understanding of employment law, data protection principles and HR good practice.
- Experience of assisting with employee relations procedures in an administrative capacity.

Pay: £26,750.00-£29,492.00 per year
