Role Overview:
We are seeking a highly organised and discreet Personal Assistant to support the Managing Director of a diverse group of companies operating across the laundry services, property, and investment sectors. This role is ideal for someone who thrives behind the scenes, excels in structure and follow-through, and is confident managing multiple tasks and priorities in a fast-paced environment.
The successful candidate will become an extension of the MD, handling key administrative responsibilities, ensuring alignment across personal and professional commitments, and managing a blend of internal deadlines, correspondence, and logistics.
Key Responsibilities:
- Managing complex calendars and scheduling meetings across multiple businesses
- Following up on internal and external deadlines to ensure project and task completion
- Coordinating travel arrangements and producing itineraries
- Managing inboxes, correspondence, and internal communications
- Creating, filing, and managing documents and records
- Liaising with suppliers, partners, and internal team members on behalf of the MD
- Managing expenses, reconciliations, and reporting via Xero
- Supporting with personal responsibilities including organising gifts, cards, celebrations, and key anniversaries
- Light micro-project management across varied business initiatives
- Maintaining the highest level of discretion, confidentiality, and integrity at all times
Essential Skills & Experience:
- Exceptional attention to detail and high standards of accuracy
- Previous experience in a similar Personal Assistant, Executive Assistant, or Legal Secretary role
- Outstanding organisational and time management skills
- Proactive and structured approach to work with strong follow-through
- Confident using:
- Microsoft 365 (Outlook, Word, Excel, Teams)
- Xero
- Zapier
- HubSpot
- Trello
- Comfortable working independently and managing multiple priorities with minimal supervision
Ideal Personality Fit:
The MD is a high-performing ‘Commander’ personality type – the ideal candidate will complement this with an ‘Orchestrator’ or ‘Shaper’ work style. You will thrive in this role if you are calm under pressure, process-driven, intuitively supportive, and able to anticipate needs before being asked.
