Property & Lettings Manager
We are looking for an experienced, confident and highly organised Property & Office Manager to join our property management team based in Grantham, NG31.
This is a hands-on management position. You will manage a small office team of two other staff members, while also taking primary responsibility for the day-to-day lettings and maintenance operations of the business.
The successful applicant must be comfortable both managing people and completing work themselves. This is not purely a supervisory role – you will be expected to take ownership of lettings, maintenance coordination, property handovers and general office performance.
A key part of the role will also be effective delegation and outsourcing. We do not want the Property Manager spending unnecessary time completing basic or repetitive tasks that can be handled cost-effectively by cleaners, contractors, viewing staff, inventory clerks or other outsourced support. You should be able to identify what needs your direct attention, what can be delegated, and ensure delegated work is completed correctly and on time.
About You
The successful applicant must:
- Hold a full driving licence and be able to drive
- Have previous management or team leadership experience
- Have previous experience within property, lettings, estate agency or a similar sales/lettings office environment
- Be confident, assertive and comfortable holding staff and contractors accountable
- Have a strong focus on improving productivity and efficiency
- Be capable of managing your own workload while overseeing the workloads of others
- Be confident delegating and outsourcing lower-level tasks
- Be proactive rather than waiting to be instructed
- Be organised and capable of prioritising multiple ongoing issues
- Remain calm and effective in a fast-paced working environment
- Have good commercial awareness, particularly when managing maintenance and contractor costs
The Role
You will liaise closely with the Director's Assistant to ensure efficiencies are being achieved across the business, the management office is operating smoothly and effectively, and new property handovers are completed seamlessly.
You will have significant responsibility for the lettings and maintenance side of the business, including ensuring properties are marketed and let quickly, maintenance issues are dealt with efficiently, contractors are managed properly and costs remain controlled.
While you will have two other members of staff within the team, you should expect to personally manage a substantial proportion of the core lettings and maintenance workload.
This is a fast-paced role requiring somebody who is proactive, responsive, commercially minded and comfortable taking ownership rather than simply passing tasks between team members.
Key Responsibilities
- Ensure the smooth day-to-day running of the management office in accordance with the Director's requirements
- Personally oversee and manage the majority of the company's lettings and maintenance operations
- Manage a small team of two other members of staff
- Monitor staff workloads, productivity and performance
- Ensure strict company KPIs, procedures and deadlines are consistently achieved
- Hold staff and contractors accountable for outstanding work
- Identify tasks that can be effectively delegated or outsourced
- Manage cleaners, contractors, viewing staff and other external support where appropriate
- Ensure outsourced work is completed correctly, efficiently and within agreed timescales
- Monitor new lettings from enquiry through to move-in
- Ensure vacant rooms/properties are marketed effectively and downtime is minimised
- Coordinate viewings and follow-up with prospective tenants
- Oversee tenant onboarding and property handovers
- Coordinate maintenance issues and ensure jobs are progressed promptly
- Source and manage contractors where required
- Monitor maintenance expenditure and challenge unnecessary or excessive costs
- Assist with documentation associated with new tenancies, leases and licences
- Improve and tighten office procedures alongside the Director's Assistant
- Provide a full weekly lettings and operational update to the Director's Assistant
- Produce management reports and monitor relevant KPIs
- Manage meetings, deadlines and staff timekeeping
- Identify problems before they become larger issues and take ownership of resolving them
- Maintain accurate records using company systems
- Complete general office administration using Word, Excel and internal property management software
Working Hours & Location
This is an office-based position working from our property management office in Grantham, NG31.
The position will be 4-5 days per week.
This is not a remote-working position due to the management and operational responsibilities involved.
Salary
Salary is dependent upon experience and will be discussed at interview.
We are particularly interested in applicants who have previously worked within property management, lettings, estate agency or another fast-paced management environment and are comfortable taking responsibility for both people and results.
