9 month contract - this an interim role while we go through a period of change.
Job Summary
We are seeking an experienced and highly organised Maintenance Scheduler to oversee and coordinate maintenance activities across six student accommodation buildings in Central and East London.
You will be based in an our public-facing office and therefore will carry out reception duties as part of your role. You must enjoy being customer focused and be a professional face of the organisation.
The Maintenance Scheduler will play a key role in leading our responsive and void maintenance, handling all maintenance requests and enquiries, managing contractors and scheduling the work of our in-house maintenance operatives.
Duties:
- Take phone calls, respond to emails and other messages about maintenance from our student tenants.
- Be based in our customer reception at South Kensington. Be part of the reception service and be customer facing.
- Produce monthly reports on our maintenance for the CEO
- To plan all maintenance carried out as part of our Void/Turnaround processes
- To plan all reactive maintenance, dealing with all issues in our flats and buildings that may be reported by our student tenants
- To oversee our contractors on a day-to-day basis, booking them for jobs and ensuring that their work is carried out to a high standard
- To schedule the work of the in-house maintenance team on a daily basis
- To be the first point of contact for the maintenance team, including in the absence of the Head of Maintenance
- To oversee our relationship with our Out Of Hours contractor and monitor all contacts
- To take part in regular meetings with colleagues to ensure our Lettings/Turnaround process runs smoothly and all flats are ready for occupation
- Schedule all remedial works to address issues found by the H&S team
- To manage our Maintenance Stores in Jerome House, set up an inventory system
- To be responsible for ordering any parts and equipment required and manage couriering them to the buildings where they are required
- You may also take on duties overseeing our cleaning services
Additional objectives within nine months year:
- Put in place a reporting system for maintenance to ensure the CEO is given useful information about the maintenance team
- Put in a system to log all student contacts about maintenance issues
- Re-tender our maintenance contractors, in line with our procurement policies and working with the CEO
- Put in place a new Out Of Hours contractor
- Put in a new process for raising orders with our contractors, working alongside our Finance Team who are implementing a new finance system
Experience required
- 3 years experience in a Maintenance Scheduling or Maintenance Management role required
- Excellent IT and organisational skills
- Experience in Student Accommodation preferred, or similar accommodation experience required
- Great communication skills - written, on the phone and in-person
Pay: £35,000.00 per year
