About the role
We are seeking a highly organised and proactive Construction Document Controller / Site Administrator to join our project team on a busy construction site. This role is critical in ensuring all project documentation, administrative processes, and site records are managed accurately and efficiently to support successful project delivery.
The successful candidate will act as the central point of contact for document control and site administration, maintaining project records, coordinating communications, and supporting both the site management and project teams.
Key responsibilities
Document Control
- Manage and maintain all project documentation using the company's document management system.
- Ensure documents are correctly distributed, tracked, and archived in accordance with project procedures.
- Control the issue, receipt, review, and storage of drawings, specifications, and technical submissions.
- Maintain accurate revision histories and document registers.
- Monitor document workflows and ensure deadlines for submissions and approvals are met.
- Support quality assurance processes by maintaining relevant records and documentation.
Site Administration
- Provide administrative support to the Site Manager, Project Manager, and wider project team.
- Prepare meeting agendas, take minutes, and distribute actions.
- Manage site correspondence, reports, and filing systems.
- Coordinate inductions and maintain personnel records.
- Organise site office supplies, equipment, and resources.
- Collate weekly and monthly reports as required.
- Assist with timesheets, workforce records, and subcontractor administration.
- Maintain health and safety records, training certificates, and compliance documentation.
Essential requirements
- Previous experience as a Document Controller, Site Administrator, Project Administrator, or similar role within the construction industry.
- Proficiency in Microsoft Office Suite, particularly Word, Excel, Outlook, and Teams.
- Experience using document control systems such as Viewpoint, Procore, Aconex, Asite, BIM 360, or similar.
- Excellent organisational and time-management skills.
- Strong attention to detail and accuracy.
- Ability to work independently and manage multiple priorities.
- Confident communication skills and professional manner.
- Knowledge of construction documentation processes and project workflows.
Desirable qualifications & experience
- Experience working on large-scale construction or civil engineering projects.
- Understanding of ISO quality management systems.
- Knowledge of health and safety documentation requirements.
- CSCS card holder (or willing to obtain).
