We are seeking a reliable, practical, and hands on Office Administrator with a proactive, "can-do" attitude to manage day-to-day administrative operations within our busy vehicle repair and rental depot.
Full Support & Office Setup: You will work directly alongside our Site Manager in the office. They will assist with your initial training, help you get up to speed on our garage systems, and remain on hand to support you whenever any questions or problems arise.
Key Responsibilities & Duties
- Customer & Commercial Relations: Provide accurate, timely updates to private clients and corporate accounts regarding vehicle repair progress.
- Billing & Invoicing: Generate and issue precise invoices for private customers, fleet operators and insurance companies.
- Quotations & Estimations: Prepare clear, comprehensive price estimates and quotations for repair work and vehicle rental agreements.
- Quality & Operational Compliance: Demonstrate high attention to detail and the ability to identify defects, documentation errors / issues before they impact operations or customer satisfaction.
- Administrative Support: Maintain accurate physical and digital records, manage incoming telephone and email communications with a well mannered approach, and perform general office management duties as required.
Required Qualifications & Competencies
- Administrative Experience: Proven background in an office administration, customer service, or operational support role.
- System Adaptability: A quick learner capable of picking up and navigating our bespoke garage software and IT systems efficiently (full on-site training provided).
- Personal Qualities: Exceptionally well mannered, polite, and professional demeanor with an approachable and customer focused attitude.
- Key Skills: High attention to detail, strong organisational ability, ability to work well under pressure and in a fast-paced environment.
- Communication & Numeracy: Exceptional proficiency in written and spoken English, paired with strong numerical skills for invoicing and estimating.
- Technical Knowledge: Mechanical or automotive knowledge is not essential. The Site Manager is based in the office with you to guide you through any technical queries.
