We're looking for an outstanding Front of House & Client Experience Assistant to join our reception team.

The Role
This isn't a reception job where you simply answer phones and check people in.
You'll be one of the first and last people our clients interact with, so warmth, professionalism and attention to detail are essential.
Working closely with our Senior Front of House Supervisor, Clinic Manager and treatment providers, you'll help make sure every client receives a consistent five-star experience from their first enquiry through to treatment, payment, follow-up and rebooking.
Looking after our clients
- Welcome every client warmly, confidently and professionally.
- Create a genuine five-star experience throughout every stage of the client journey.
- Handle telephone, email and in-person enquiries professionally.
- Help clients book the right appointments and explain our booking process clearly.
- Check clients in and make sure treatment providers know when their clients have arrived.
- Work closely with treatment providers to keep the day running smoothly and support the client journey before and after treatment.
- Take payments accurately and confidently.
- Rebook clients and help them plan suitable future appointments.
- Make follow-up calls to check how clients are getting on after treatments and help arrange their next appointment where appropriate.
- Follow up enquiries and help convert suitable enquiries into appointments.
- Make sure clients feel acknowledged and looked after, even during busy periods.
- Handle straightforward questions and concerns calmly, knowing when to involve a senior team member or treatment provider.
Keeping the clinic running smoothly
- Manage diaries carefully and help minimise unnecessary gaps.
- Stay on top of cancellations, waiting lists, appointment changes and rebookings.
- Keep accurate client records and booking information.
- Support treatment providers with the practical flow of their day and help ensure appointments run smoothly.
- Support the Senior Front of House Supervisor and Clinic Manager with the day-to-day running of reception.
- Complete opening and closing procedures accurately.
- Take responsibility for end-of-day cashing up and make sure the Daily Cash Sheet balances correctly against payments taken.
- Identify and report any payment or cash discrepancies promptly.
- Keep reception, waiting areas and all client-facing spaces clean, organised and beautifully presented throughout the day.
- Help maintain treatment and retail stock, including deliveries, stock checks and restocking.
- Keep retail displays tidy, fully stocked and ready for clients.
- Notice when something needs doing and take responsibility rather than waiting to be asked.
We're Looking For Someone Who...
- Has strong experience in a reception, front of house or customer-facing role.
- Ideally has worked within a five-star or premium environment such as an aesthetics clinic, luxury spa, high-end salon, five-star hospitality, wellness business or premium retail.
- Is naturally warm, friendly and comfortable speaking to people.
- Understands what a genuine five-star client experience looks and feels like.
- Understands the difference between simply being polite and making a client feel genuinely looked after.
- Communicates clearly and professionally in person, on the telephone and in writing.
- Is organised and able to manage several things at once without becoming flustered.
- Is confident using computers, booking systems, email and everyday office software.
- Is comfortable handling payments, cashing up and checking figures accurately.
- Takes pride in presentation, cleanliness and high standards.
- Is comfortable discussing appointments, treatments, products and rebooking with clients once trained.
- Is reliable, punctual and willing to take responsibility.
- Works well as part of a team and communicates confidently with both front of house colleagues and treatment providers.
- Notices the little things before they become problems.
Experience within a skin or aesthetics clinic would be an advantage, but isn't essential.

You're naturally someone who looks up when a client walks through the door, smiles, acknowledges them and makes them feel welcome.
You understand that five-star service isn't one big gesture. It's the consistency of every interaction: answering the phone properly, remembering what a client needs, keeping treatment providers informed, making payment easy, checking in after treatment and making sure the client leaves knowing what happens next.
You don't hide behind the reception desk or wait to be told what needs doing.
You notice when the waiting area needs attention, when a client looks unsure, when a treatment provider needs support, when the phone needs answering, when a follow-up call is due or when there is a gap in the diary that could potentially be filled.
You're comfortable working in a busy environment, but you don't allow being busy to become an excuse for poor service or sloppy administration.
You care about doing things properly and understand that small details make a significant difference to how a premium clinic feels.

Application question(s):
- Do you have at least 18 months experience working in a 5*
reception, front of house or customer-facing role?
- Have you worked in a five-star or premium client-facing environment such as an aesthetics clinic, luxury spa, high-end salon, five-star hospitality, wellness business or premium retail?
- Are you confident communicating professionally with clients in fluent spoken and written English, including face-to-face, over the phone and by email?
- Are you confident using computer-based booking systems, email and Microsoft Office or similar software in a busy working environment?
- Are you comfortable taking payments, completing end-of-day cashing up and checking that a Daily Cash Sheet balances accurately?
- Are you comfortable making follow-up sales calls to clients after treatment, checking how they are getting on and helping them book their next appointment where appropriate?
- Are you comfortable working closely with treatment providers throughout the day to help manage client flow, appointments, rebooking and the overall client experience?
- This is a hands-on front of house role which includes keeping reception and client areas immaculate, restocking, receiving deliveries and helping with general clinic organisation. Are you happy for these duties to form part of your role?
- Our clinic operates seven days a week and until 8pm. Are you available to work a rota that includes evenings and some weekends?
- Are you able to commute reliably to our clinic in Chelsea (SW3) for all of your scheduled shifts?
