As part of our Operational Support Team, you will work your contracted hours on Thursday and Friday and participate in a rota arrangement to provide office cover between 7:30am and 5:00pm, helping to ensure the smooth and effective delivery of Facilities Services across the borough.

An exciting opportunity has arisen to join our Operational Support Administration Team within Property & Facilities Services. As a Facilities Services Assistant, you will play a key role in supporting services that help maintain schools, council buildings and facilities across the borough.
Working as part of an established job-share arrangement, you will provide administrative support across a range of functions including contractor management, PFI administration, financial processing, performance monitoring, customer enquiries and service coordination.
This is an ideal opportunity for someone who enjoys problem-solving, working collaboratively and being at the heart of a busy operational service.
About the Role
In this varied and rewarding role, you will:

Provide administrative support for PFI contracts and facilities management services.
- Process and monitor service requests, maintenance activities and contractor performance information.
- Respond professionally to enquiries from customers, schools, contractors and council departments.
- Raise purchase orders, process invoices and maintain accurate financial records.
- Support performance reporting, compliance monitoring and data management activities.
- Maintain accurate records and audit trails to support service delivery and contract management.
- Identify and escalate service issues, ensuring that customer concerns are addressed promptly.
- Work closely with colleagues and your job-share partner to ensure a seamless and consistent service.
- Undertake a variety of general office administration duties, including maintaining records, managing correspondence, updating systems, filing documentation, and supporting the day-to-day running of the service.
About You

Has excellent organisational and administrative skills.
- Pays close attention to detail and values accuracy.
- Communicates confidently and professionally with a wide range of people.
- Can manage competing priorities and meet deadlines effectively.
- Has good IT skills, including experience of Microsoft Office applications, particularly Excel.
- Enjoys working both independently and as part of a team.
- Is committed to delivering excellent customer service.
- Is flexible and willing to participate in a rota arrangement to provide office cover between 7:30am and 5:00pm.
Previous experience in an administrative, facilities management, customer service or related environment would be advantageous, although training will be provided.
