Job description
The following are the core responsibilities of the recall and data administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
a. Accurately read-coding data on TPP SystmOne
b. Extracting the required data from clinical correspondence and inputting the data into the patient's electronic healthcare record
c. Coding all secondary care (hospital) letters
d. Input and extract data as required to support practice reports
e. Maintain effective security of data all times
f. Support the team in the use of the clinical system
g. Provide guidance in trouble shooting when requested
h. File and store records as required
i. Photocopy documentation as required
j. Action all incoming emails and mail in a timely manner
k. Scanning of patient related documentation and attaching scanned documents to patients' healthcare records
l. Summarise patients notes when requested
m. Initiate data quality improvement projects
n. Collate the required data for reporting purposes
o. Code results and upload data as required
p. Develop, coordinate, implement and manage patient call and recall system for but not limited to QoF, Annual Reviews and DES/LES Enhanced Services
q. To monitor the practices performance against QOF compliance on a monthly, quarterly and annual basis
r. Support and work with the clinical team to identify areas for improvement in QoF data quality
s. Assist the whole practice team with the capturing of patient related data through the monitoring of patient recalls and records.
t. To support the clinical team in identifying and targeting patients for assessment and treatment
u. To assist in the read coding of patient clinical documentation and information in relation to QoF and annual reviews
v. To assist on imparting knowledge for all team members to maximise QoF awareness
in relation to their use of the clinical system
w. To work as an integral part of the admin team, supporting all team members
In addition to the primary responsibilities, the recall and data administrator may be requested to:
a. Partake in audit as directed by the audit lead
b. Assist in the administration and coding of safeguarding documentation ensuring timescales are met
c. Assist with queries regarding safeguarding matters and refer appropriately
