Alternative Provision Administrator
Location: Ascend Oswestry Ltd, Cambrian Works, Oswestry

Ascend Oswestry is developing a part-time, one-to-one Alternative Provision supporting children and young people who require an alternative approach to education.
We are looking for an organised and experienced Alternative Provision Administrator to manage the administrative and record-keeping requirements associated with learner placements.
This is not a teaching position. The successful candidate will help ensure that referrals, attendance records, learner documentation and communication with commissioning schools are accurate, complete and securely maintained.
Key responsibilities
- Processing referrals and checking that all required information has been received before a placement begins.
- Creating and maintaining secure learner files.
- Reviewing referral information, EHCP documentation, risk assessments, healthcare information and agreed support arrangements.
- Managing admissions paperwork, parental consent forms and emergency-contact information.
- Maintaining accurate AP attendance and session registers.
- Reporting attendance and unexplained absence to commissioning schools within agreed timescales.
- Preparing placement agreements, review paperwork and learner progress documentation.
- Recording and securely sharing information with schools, local authorities and other authorised professionals.
- Monitoring expiry and review dates for risk assessments, consent forms, policies, training and compliance records.
- Supporting the Manager and DSL with safeguarding administration while ensuring safeguarding decisions remain with appropriately designated staff.
- Maintaining confidentiality and complying with UK GDPR, data-protection and record-retention requirements.
- Assisting with invoicing, placement schedules and general AP correspondence.
- Supporting preparation for quality-assurance visits, audits and commissioning reviews.
Essential experience and knowledge
- Previous experience in an education, Alternative Provision, SEND, local-authority or similar administrative role.
- Knowledge of EHCPs, SEND terminology and education referral processes.
- Experience handling confidential and sensitive information.
- Strong record-keeping, written communication and organisational skills.
- Confidence communicating professionally with schools, parents, carers and external agencies.
- Good working knowledge of Microsoft Office or equivalent digital systems.
- Ability to manage competing deadlines accurately and independently.
- Understanding of safeguarding responsibilities and the importance of promptly escalating concerns.
Desirable experience
- Previous experience working directly within Alternative Provision.
- Experience supporting school-placement or local-authority commissioning processes.
- Knowledge of attendance procedures and Children Missing Education processes.
- Experience preparing evidence for audits, inspections or quality-assurance reviews.
- Relevant business-administration or education-support qualification.
