Monday to Friday 08.00-16.00 (37.5 hours per week)

Are you an experienced Estates professional with strong organisational skills and a passion for delivering safe, high-quality services? Oxford Health NHS Foundation Trust is looking for a proactive Band 6 Estates Officer – Specialist Resource Allocation to join our Estates team based at Littlemore. This is an exciting opportunity to play a key role in coordinating maintenance services, leading teams, and ensuring our healthcare environments remain safe, compliant and fit for purpose.
Key responsibilities
· Lead the day-to-day allocation and scheduling of reactive and planned maintenance work across the Trust, ensuring jobs are prioritised appropriately, resources are deployed effectively and agreed response times and KPIs are consistently achieved. You'll work closely with the Help Desk, Estates teams and contractors to ensure maintenance requests are managed from receipt through to completion. Your focus will be on delivering an efficient, responsive and customer-focused service.
· Coordinate the activities of in-house maintenance teams and external contractors, ensuring the right people are assigned to the right work at the right time. You'll balance competing priorities, respond quickly to urgent situations and adjust workloads to maintain operational continuity across multiple sites. Effective communication with clinical services and operational teams will be essential.
· Monitor the progress of maintenance activities, proactively following up outstanding work, reviewing job priorities where necessary and ensuring all records are accurate and up to date. You'll produce regular performance reports, analyse maintenance data and identify opportunities to improve service delivery, productivity and compliance.
· Support the Trust's statutory and regulatory responsibilities by promoting safe systems of work and ensuring maintenance activities comply with current legislation, Health Technical Memoranda (HTMs), Trust policies and industry best practice. You'll contribute to permit-to-work processes and help maintain a safe environment for patients, staff and visitors.
· Manage budgets within your area of responsibility, ensuring materials, equipment and services are procured in line with financial procedures and value-for-money principles. You'll monitor expenditure, report any budget pressures and help ensure projects are delivered efficiently without compromising quality or safety.
· Build positive working relationships with clinical teams, service managers, specialist advisors and external contractors, acting as a key point of contact for Estates-related enquiries. You'll provide clear updates on priority work, manage customer expectations and ensure excellent communication throughout every stage of the maintenance process.
· Lead, support and develop a multi-skilled workforce by providing day-to-day supervision, conducting appraisals, identifying training needs and promoting continuous professional development. You'll foster an inclusive team culture, encourage high performance and ensure staff are equipped with the knowledge and skills needed to deliver excellent services.
· Contribute to continuous improvement across the Estates function by identifying efficiencies, improving processes and supporting service developments. You'll work collaboratively across the wider Estates and Facilities team to enhance performance, strengthen compliance and help deliver the Trust's strategic objectives.
· Act as a competent person for specific statutory and HTM responsibilities where appropriate, supporting specialist compliance activities including areas such as water safety, ventilation systems, lifts, asbestos awareness and pressure systems. You'll help ensure the Trust maintains safe, compliant and well-managed healthcare facilities.
About you
We're looking for someone who combines technical Estates knowledge with excellent organisational and people management skills. You'll have significant experience within an Estates, Facilities or Maintenance environment and be confident coordinating multiple priorities in a fast-paced operational setting.
To be successful you'll ideally have:
· Significant Estates maintenance experience with strong knowledge of building fabric, engineering services and statutory compliance.
· Good understanding of Health Technical Memoranda (HTMs), Health Building Notes (HBNs) and safe systems of work within a complex Estates environment.
· Experience leading or supervising maintenance teams, contractors or operational staff, with a collaborative and supportive leadership style.
· Strong IT skills, including Microsoft Office (particularly Excel), with the ability to analyse data, produce reports and use CAFM systems.
· Excellent communication and customer service skills, with the ability to explain technical information clearly to both technical and non-technical audiences.
· Proven organisational skills with the ability to prioritise workloads, manage competing demands and remain calm under pressure.
· Experience interpreting risk assessments, method statements and maintenance documentation while maintaining accurate records.
· GCSEs (or equivalent) in English and Maths. An HNC (or equivalent) in Engineering, Building Services or a related discipline, IOSH Managing Safely and professional membership (such as IHEEM) would be advantageous, although relevant experience is equally valued.
