About the Role
We’re looking for a highly organised and proactive PA & Finance Administrator to support our Managing Director and ensure smooth day‑to‑day financial operations. This dual role blends executive support, diary and communication management with hands‑on finance administration, making it ideal for someone who thrives on variety, responsibility and fast-paced environments.
You’ll act as the MD’s right hand, keeping priorities on track; coordinating key communications; and ensuring operational efficiency, while also taking full ownership of all finance administration.

Key Responsibilities
Executive PA Support
· Manage the Managing Director’s diary, schedule and daily priorities
· Coordinate meetings, prepare agendas and produce follow‑up actions
· Handle confidential correspondence and communication on behalf of the MD
· Maintain organised filing systems and ensure information is easily accessible
· Work with the Operations Director and Heads of Department to ensure seamless communication and workflow between departments.
Finance Administration
· Process invoices, purchase orders and expenses accurately and on time.
· Support credit control, including chasing outstanding payments where required.
· Prepare and control payroll and staff pensions and assist with staff payment queries.
· Maintain financial records, trackers and reconciliation logs.
· Coordinate month‑end processes, including data entry and basic reporting.
· Liaise with suppliers, clients and internal teams regarding finance queries.
· Ensure compliance with financial procedures and audit requirements, liaising with our Accountants.
What We’re Looking For
Essential
· Experience as a PA, EA or senior administrative support role.
· Experience in finance administration or similar financial processing duties.
· Exceptional organisation and ability to manage multiple priorities.
· High attention to detail and accuracy.
· Strong communication skills and professional discretion.
· Confident with Microsoft Office (especially Excel, Outlook and Word).
· Ability to work independently and maintain confidentiality.
Desirable
· Experience supporting senior leadership or directors.
· Knowledge of basic bookkeeping or accounting processes.
· Experience using finance systems (e.g., Xero, Sage, QuickBooks).
· Experience preparing reports.
