Job Overview
We are seeking a highly organised and detail-oriented Office Administrator to join our team. The ideal candidate will possess strong administrative skills and a solid background in office management. This role is essential in ensuring the smooth operation of our office, providing support to staff and maintaining efficient administrative processes. Ideal for someone confident working and making decisions without constant supervision. You’ll be the central point of contact for customers, engineers, and suppliers—managing schedules, documents, and communications while also supporting the director with some PA duties.
Key Responsibilities
Office Support
- Manage day-to-day office operations, ensuring a welcoming and professional environment.
- Handle incoming calls, emails, and customer queries with professionalism, empathy and excellent phone etiquette.
- Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
- Maintain engineer schedules, job tracking systems, and appointment calendars across a number of different software formats.
- Prepare and process quotes, invoices, and compliance documentation
- Use Excel to manage data, generate reports, and streamline workflows
- Assist with bookkeeping tasks including invoicing and expense tracking.
- Provide clerical support including filing, typing, and managing office supplies.
- Liaise with suppliers, customers, and engineers to ensure smooth operations
- Take initiative to resolve issues—whether it’s a missed appointment or a boiler emergency.
- Keep the office running smoothly even when working alone.
PA Duties
- Support director with inbox management.
- Organise meetings, take notes, and follow up on action points.
- Maintain confidentiality and discretion in all matters.
Skills & Attributes
- Proven office experience with a strong administrative background.
- Proficient in Microsoft Excel and confident with digital tools.
- Excellent written and verbal communication skills.
- Strong customer service mindset with a calm, solution-focused approach.
- Flexible and adaptive—able to juggle priorities and pivot quickly.
- Emotionally intelligent and resilient—able to handle banter without taking offence.
- Comfortable working alone and making decisions independently.
- Empathetic and patient when dealing with customers who may be older, have limited literacy, or struggle with technology—able to simplify communication and offer practical support without judgment.
- Organised and detail-oriented, especially when managing a busy schedule
- Ability to communicate effectively both verbally and in writing.
