About our Administrator role :
We are looking for an administrator that will integrate well with our existing team and is keen to develop or begin their career
Our Administrators duties will consist of :
- Manage a busy helpdesk inbox, responding to queries and prioritising requests
- Coordinate and schedule planned and reactive maintenance works using internal systems.
- Liaise with clients, suppliers, and engineers to ensure work is booked, confirmed, and completed.
- Maintain accurate records of jobs, quotes, purchase orders, and compliance documentation.
- Raise and process purchase orders for suppliers accurately
- Populate and manage POs within the procurement system
- Track orders through to delivery and completion
- Coordinate delivery of materials to site, ensuring timelines are met
- Carry out cost matching of supplier invoices against POs
- Handle supplier queries and resolve discrepancies promptly
- Monitor and update CAFM systems to support KPI and SLA reporting
- Support health & safety administration, including inductions and training records
- Assist with general office and administrative duties across the department
- Previous experience is desirable but not essential – this is an entry level role with full support provided

- The ability to work under pressure, set own priorities, and capable of working individually in meeting appropriate deadlines
- The ability to maintain confidentiality
- Attention to detail
- Clear and confident communication skills
