You will provide day-to-day administrative support to the CEO, School Leaders, and School Services Manager, helping to ensure the school runs efficiently and that everyone who visits or contacts the school receives a warm and professional welcome.
Responsibilities:
- Act as the first point of contact for parents, visitors, local authorities, social workers and other external agencies, delivering a professional and welcoming service.
- Answer telephone calls, respond to enquiries, and ensure messages are passed to the appropriate staff promptly.
- Prepare letters, reports, meeting minutes and other documents, ensuring accuracy and confidentiality.
- Welcome visitors to the school and support the organisation of meetings, reviews and visits.
- Maintain the school diary, filing systems and accurate administrative records.
- Process incoming and outgoing post and manage document archiving in preparation for digitalisation.
- Order office supplies and liaise with approved suppliers to ensure resources are available.
- Collate staff absence information for submission to HR and coordinate temporary agency staff when required.
- Support the production and distribution of the weekly school newsletter.
- Respond to admissions enquiries and maintain the availability of key forms and documentation.
- Assist with photocopying and oversee the maintenance of office printers and photocopiers.
- Provide cover for the Review Secretary when required, ensuring reports are updated and circulated on time.
About you:
- Previous experience in an administrative role (1–2 years minimum)
- Strong organisational skills and excellent attention to detail
- Ability to manage multiple tasks and work to deadlines
- Confident IT skills (Microsoft Office, databases, and willingness to learn new systems)
- Professional, calm, and empathetic communication style
- Proactive, reliable, and able to work independently and as part of a team
- Strong problem-solving skills and ability to respond effectively in a busy environment
- A positive attitude, with energy and enthusiasm
Experience in a school, care or knowledge of SEN would be desirable, however not essential.
Hours of work: 12 hours per week, Wednesday to Friday 10am-2pm.
Salary: The hourly rate is between £12.71 - £14.43, which is £7,931 - £9,000 annually (depending on experience and qualifications relating to the role)
(FTE salary: £24,784.50 - £28,138.50)
