Role Overview
We are looking for a proactive and commercially minded Business Systems & Digital Transformation Manager to review, improve and modernise our internal systems and business processes.
The successful candidate will work closely with our Directors, managerial team and employees to understand how the business currently operates, identify weaknesses, inefficiencies, duplicated work and gaps within our systems, and then design and implement practical improvements.
A major objective of the role will be to help transition the business towards a fully digital and paperless working environment, while improving efficiency, accountability, reporting and communication across the company.
This is not simply an IT support role. We are looking for someone who can look at the business as a whole, challenge existing processes and take ownership of implementing better ways of working.
Key Responsibilities
* Conduct a full review of our existing IT systems, software and internal business processes.
* Identify weaknesses, loopholes, inefficiencies and areas where processes can fail or be bypassed.
* Work with Directors and managers to understand operational problems and develop practical solutions.
* Lead the company’s transition towards a paperless working environment.
* Digitise existing paperwork, forms, job sheets, reports, checklists and approval processes.
* Identify areas where manual processes can be automated.
* Review how information moves between departments and eliminate unnecessary duplication of work.
* Improve internal reporting and provide management with better visibility of business performance.
* Review user permissions, access controls and accountability within company systems.
* Recommend new software, systems or technologies where they would provide a genuine operational benefit.
* Work with software developers and external IT providers where required.
* Help design and document improved workflows and operating procedures.
* Implement new systems and processes rather than simply making recommendations.
* Train managers and employees on newly introduced systems and procedures.
* Monitor whether new processes are being followed correctly and identify further improvements.
* Improve integration between different systems used throughout the business.
* Help management use technology and automation to reduce administration and improve productivity.
* Maintain documentation covering systems, processes, permissions and procedures.
What We Are Looking For
The ideal candidate will have experience in a combination of:
* Business systems management
* Digital transformation
* Business process improvement
* IT systems and software implementation
* Workflow automation
* Process mapping
* Project management
* Data and management reporting
* Cloud-based business systems
* Cybersecurity and user-access controls
* Working directly with senior management
* Managing organisational change
The individual does not necessarily need to be a software developer, but they should have a strong technical understanding and be capable of communicating effectively with developers and IT providers.
The Type of Person We Need
We are particularly interested in someone who naturally questions:
“Why are we doing it this way?”
and then has the ability to determine:
“How can we make this simpler, faster, safer and more accountable?”
The successful candidate should be confident enough to challenge existing processes, including those used by management, while being practical enough to implement solutions that employees will actually use.
They should be analytical, organised, technically capable and comfortable taking ownership of projects from identifying the original problem through to implementation and ongoing improvement.
Key Objectives
The main objectives of the position will be to:
1. Move the business towards paperless operations.
2. Identify loopholes and weaknesses within existing systems and processes.
3. Reduce unnecessary administration and duplicated work.
4. Automate repetitive processes wherever practical.
5. Improve accountability and audit trails.
6. Give management better information and visibility.
7. Improve communication between departments and systems.
8. Ensure processes cannot easily be missed, bypassed or incorrectly completed.
9. Introduce new technology where it provides measurable business benefits.
10. Create a culture of continuous systems and process improvement.
