We are looking for a friendly, organised and proactive Sales Coordinator to join our team on a part-time maternity cover contract. We can offer some flexibility around working hours and would consider either shorter hours spread across five days or the equivalent hours worked over three days, up to 30 hours a week.
This is a varied role working alongside our existing sales office team, providing customer support, assisting with quotations and orders, managing aftersales enquiries and helping to ensure the smooth day-to-day running of the department.
The initial position is offered as maternity cover, however, there may be an opportunity for the right person to continue with the business beyond the maternity cover period.
About the Role
As a Sales Coordinator, you will be an important point of contact for our customers and will work closely with the wider sales, production, transport and purchasing teams.
No two days are quite the same. You could be responding to a customer enquiry, preparing a quotation, processing an order, helping resolve an aftersales issue, checking order information or liaising with production to provide a customer with an update.
We are particularly interested in candidates who have experience within the window, door, glazing or construction industry and who have a good understanding of aluminium window and door systems.
Experience using Window Designer or similar window and door design/order processing software would be a significant advantage.
The ideal candidate will already understand how windows and doors are constructed, the terminology used within the industry and how to interpret customer requirements. However, we are also happy to consider someone with strong sales, customer service or administration experience who has the ability and willingness to learn the technical side of the industry.
Key Responsibilities
- Provide excellent customer service by telephone and email.
- Prepare and process quotations, sales orders and associated documentation.
- Use Window Designer to prepare quotations and process orders where appropriate.
- Manage smaller quotations and sales enquiries from existing and prospective customers.
- Deal with customer enquiries relating to products, specifications, pricing and order requirements.
- Provide aftersales support and resolve customer queries, escalating issues where appropriate.
- Keep customers informed of order progress, production and delivery timescales.
- Maintain accurate customer, quotation and order records.
- Monitor shared inboxes and ensure enquiries are dealt with promptly.
- Liaise with production, transport, purchasing and other departments to obtain information and provide customers with updates.
- Assist with order administration and general sales office duties.
- Support colleagues during busy periods and provide cover where required.
- Follow up quotations and enquiries where appropriate.
- Assist customers with product selection, technical information and smaller sales requirements.
- Identify opportunities to improve customer service and office processes.
- Carry out other reasonable duties required to support the business.
The Ideal Candidate
We are looking for someone who is organised, approachable and confident dealing with customers, but who is also comfortable getting into the detail of products and orders.
Ideally, you will have:
- Experience within the window, door, glazing, aluminium or construction industry.
- A good understanding of window and door systems and associated terminology.
- Experience using Window Designer or similar order processing software.
- Experience preparing quotations and processing orders.
- Excellent communication and customer service skills.
- Strong organisational skills and attention to detail.
- A confident and professional telephone manner.
- Good IT skills and confidence learning new systems.
- The ability to manage multiple enquiries and prioritise workloads.
- A positive, proactive approach and willingness to support the wider team.
Don't have window industry experience?
That doesn't necessarily mean you aren't right for the role.
If you have previous experience in sales, customer service or office administration, are confident with computers and systems, and have the ability and willingness to learn about aluminium windows and doors, we would still like to hear from you.
We can teach the technical side of the role. Attitude, attention to detail, customer service and the ability to learn are equally important.
