Service Administrator / Service Coordinator

About the Role
Due to continued growth, we are looking for an experienced Service Administrator / Service Coordinator to join our busy and friendly team.
This is a varied and fast-paced role that would suit someone with previous experience in a service, maintenance or engineering environment who enjoys organising workloads, supporting engineers, and delivering excellent customer service.
As the central point of contact for our Service Department, you'll ensure repairs, maintenance visits and customer enquiries are managed efficiently from start to finish.
Key Responsibilities
- Schedule and allocate reactive call-outs to engineers.
- Raise service repair jobs and manage them through to completion.
- Process completed service paperwork and prepare customer invoices.
- Request estimates for additional works identified by engineers.
- Handle customer enquiries via telephone and email, providing a professional and friendly service.
- Process routine service sheets and force test documentation.
- Programme access fobs and arrange intercom number changes.
- Maintain accurate electronic records using our service management system.
- Scan and file documents, distribute post and receive deliveries.
- Support the wider team with general administration as required.
- Ensure all work is completed accurately and within agreed timescales.
About You
To be successful in this role you'll have:
- Previous experience as a Service Administrator, Service Coordinator, Helpdesk Administrator, Maintenance Administrator, or Scheduler.
- Experience working within an engineering, maintenance, facilities management, security, construction or similar service-based industry would be highly advantageous.
- Excellent organisational skills with the ability to manage multiple priorities.
- Strong communication skills and a professional telephone manner.
- A proactive approach and the ability to solve problems independently.
- Good IT skills, including Microsoft Office and experience using service management software.
- High attention to detail and the ability to work well under pressure.
- Be prepared to work for extended periods of lone working in a secure and safe environment.
