Job Overview
We are looking for an organised, confident and proactive Administrator to play a key role in keeping our day-to-day operations. This is a varied, fast-paced position where no two days are exactly the same, making it ideal for someone who enjoys staying busy and solving problems.
You will help coordinate work across the business, from planning and distributing jobs to preparing estimates, submitting completed work and producing invoices. You’ll communicate regularly with clients, technicians, workshop staff and management to ensure everyone has the information they need and work progresses efficiently.
The role also involves ordering parts and materials, maintaining accurate records and supporting the team with general administrative duties. You’ll become an important link between our customers, office and workshop, helping ensure work is organised, completed, submitted and invoiced correctly.
We’re looking for someone who enjoys taking ownership, communicating with different people and being part of a friendly, hands-on team where their contribution makes a visible difference.
Responsibilities
- Plan and allocate work across the team, ensuring jobs are clearly communicated and appropriately prioritised.
- Prepare accurate estimates and quotations based on required work, labour, parts and materials.
- Submit completed work through quickbooks and work radar, ensuring all required paperwork and evidence is included.
- Prepare and process invoices, checking that completed work is correctly charged and ready for payment.
- Communicate professionally with clients, providing updates, answering queries and resolving administrative issues promptly.
- Order and coordinate parts and materials, monitoring requirements to help prevent unnecessary delays to jobs.
- Support general office administration, including maintaining accurate records, updating systems, processing paperwork and assisting with the smooth day-to-day running of the business.
Skills
- Strong organisation and time management – able to prioritise multiple jobs, deadlines and administrative tasks effectively.
- Excellent communication skills – confident communicating professionally with clients, colleagues, technicians and management.
- Good attention to detail – ensuring estimates, invoices, submissions and job information are accurate before processing.
- Confident IT and administrative skills – comfortable using emails, spreadsheets, online client portals and business management systems.
- Proactive problem-solving and teamwork – able to use initiative, adapt when priorities change and work closely with others to keep operations running smoothly.
Pay: £23,132.00-£27,300.00 per year
