About the Role
We are seeking a highly organised and proactive Project Co-ordinator to join our growing team. This role provides essential administrative and operational support to ensure projects are delivered efficiently, on time, and within scope.
You will play a key role in coordinating project activities, maintaining accurate documentation, and supporting communication between clients, site teams, and internal stakeholders.
Key Responsibilities
- Implement and maintain project tracking systems, including progress monitoring, documentation, financial tracking, and lessons learned
- Support Project Managers with project planning, schedules, and timelines
- Monitor project milestones and highlight any potential delays or risks
- Prepare project status reports and updates for internal teams and clients
- Attend project meetings and track actions and outcomes
- Liaise with clients, subcontractors, and site teams to support smooth project delivery
- Ensure personnel have appropriate PPE and maintain accurate records
- Request supplier quotations for materials, services, and equipment
- Raise purchase orders and track expenses using Xero accounting software
- Maintain and update CRM systems with accurate project and client information
- Organise and manage project documentation and records
- Provide general administrative support, including handling calls, emails, and filing
- Provide cover for the Admin & Personnel Co-ordinator when required
Key Objectives
- Ensure efficient coordination of projects through effective tracking and organisation
- Maintain accurate and up-to-date documentation and systems
- Support resource and personnel management, including subcontractors
- Facilitate clear communication between all project stakeholders
- Assist with financial and administrative project processes
Skills & Experience
- Strong organisational and time management skills, with the ability to manage multiple projects
- Excellent attention to detail and data accuracy
- Strong written and verbal communication skills
- Ability to build effective working relationships with clients and teams
- Proficient in Microsoft Office, particularly Word and Excel
- Experience using CRM systems and accounting software (e.g. Xero) is desirable
- Ability to work independently and as part of a team
Desirable
- Awareness of ISO standards (9001, 14001, 27001, 45001)
- Previous experience in a project support or coordination role
- Full UK Driving Licence
