About the Role
We’re looking for a highly organised and proactive Planning Coordinator to join our growing operations team.
This is a fast-paced role that sits at the heart of our business, ensuring the right people, vehicles and equipment are in the right place at the right time. You'll be responsible for planning and coordinating our fleet of specialist HGV spray tankers, managing customer bookings, and resolving operational challenges before they become problems.

What You’ll Be Doing
Planning & Scheduling
- Coordinating daily and future work schedules across our nationwide operations.
- Planning routes and allocating drivers and specialist vehicles to maximise operational efficiency.
- Managing customer bookings and ensuring all required information is accurately recorded within our planning systems.
- Ensuring jobs are fully resourced with the correct vehicles, equipment and personnel.
Operational Coordination
- Acting as the main point of contact for customer enquiries via telephone and email.
- Monitoring work schedules and proactively identifying potential conflicts, delays or resource shortages.
- Communicating work instructions, updates and changes to drivers and operational teams.
- Liaising with Operations Managers and other departments to ensure service delivery targets are achieved.
Customer Service
- Building strong relationships with customers through professional and responsive communication.
- Resolving operational issues quickly and effectively.
- Ensuring customer requirements are understood and delivered upon.
- Escalating customer feedback and service concerns where appropriate.
Compliance & Administration
- Ensuring all bookings contain the necessary information, including customer order numbers.
- Supporting the management of RAMS requests and relevant compliance documentation.
- Maintaining accurate planning records and ensuring all enquiries and bookings are actioned daily.
- Producing operational updates and forward-planning reports for management.
Continuous Improvement
- Identifying opportunities to improve planning processes and operational efficiency.
- Contributing ideas that improve customer service, resource utilisation and overall business performance.
What We’re Looking For
Essential
- Experience in a planning, scheduling, transport, logistics or geographical resource planning role.
- Strong organisational skills with exceptional attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Excellent communication skills, both written and verbal.
- Strong IT skills and experience using planning, scheduling or operational systems.
- A proactive approach to identifying and resolving problems before they impact customers.
- Confidence making decisions and working independently.
Desirable
- Experience within a transport, logistics, utilities, construction or field-service environment.
- Experience planning vehicle fleets and mobile workforces.
- Understanding of driver scheduling, route planning and resource allocation.
On-Call Requirement
This role includes participation in an on-call rota, typically one week in every three.
During your on-call week, you will be required to:
- Be available to answer operational calls and respond to urgent queries outside normal working hours.
- Provide telephone support between 5:00pm and 8:00am Monday to Friday.
- Be available throughout Saturday and Sunday for operational escalations and support.
- Resolve issues remotely or coordinate appropriate operational responses where required.
Most on-call support is conducted remotely by phone, and while uninterrupted periods of rest are common, candidates should be comfortable managing urgent operational situations when required. The overnight element of the on-call rota does not require you to remain awake.
