Role Overview
We are looking for an organized, proactive, and versatile Office Manager to keep our workspace running smoothly and support our small team. This all-around role is the heartbeat of our office, handling day-to-day workplace operations, basic administrative bookkeeping, and routine HR administration. You will have high autonomy to manage the environment and ensure the team has everything they need to succeed.
Key Responsibilities
1. Office & Workplace Coordination
- Facility Management: Serve as the main point of contact for the landlord/office building.
- Supplies & Inventory: Keep the office stocked with tech, stationery, and refreshments.
- Visitor Hospitality: Greet clients and manage incoming post or deliveries.
- Event Planning: Organise occasional team lunches, meetings, and social agency events.
2. Basic Bookkeeping & Finance Support
- Expense Management: Collect, log, and reconcile team receipts and company expenses.
- Invoicing: Issue basic client invoices and log incoming supplier bills using accounting software (e.g., Xero).
- Credit Control: Follow up politely on overdue payments.
- Note: No formal accounting qualifications are required; this is data entry and organization.
3. HR & Team Administration
- Onboarding: Set up workstations and email accounts for new starters, and issue standard contract templates.
- Leave Tracking: Maintain the team calendar for annual leave, sickness, and remote working days.
- Staff Queries: Act as the first point of contact for general internal admin questions.
- Note: This is a purely administrative HR role; no complex employee relations management is required.
About You
- Experienced Generalist: Prior experience in an office management, operations, or team assistant role.
- Tech-Savvy: Comfortable with standard office tools (Microsoft 365/Google Workspace) and basic finance software (e.g., Xero/QuickBooks).
- Highly Organised: Ability to manage your own time efficiently across 30 hours a week.
- Great Communicator: Friendly, approachable, and discreet when handling sensitive team information.
