Maintain document control procedures and processes to ensure consistency, compliance, and accuracy.
- Manage electronic and physical document repositories, ensuring information is stored, archived, and retrieved effectively.
- Monitor document workflows, including creation, review, approval, distribution, and revision control.
- Coordinate document reviews and approvals, ensuring actions are completed within required timescales.
- Maintain document registers, logs, and trackers, providing regular updates to project teams and stakeholders.
- Support internal and external audits by providing accurate documentation and compliance records.
- Generate document transmittals, reports, and correspondence as required.
- Provide guidance and support to colleagues on document control systems, processes, and best practice.
-
Previous experience in a Document Controller, Records Coordinator, or similar document management role.
- Strong organisational skills with excellent attention to detail.
- Experience managing documentation across multiple projects or workstreams.
- Proficiency in Microsoft Office and document management systems.
- Ability to prioritise workloads and manage deadlines effectively.
- Strong communication skills and the ability to work collaboratively with a range of stakeholders.
- Experience within utilities, infrastructure, engineering, construction, or other regulated industries.
- Bonus if you have experience using platforms such as SharePoint, Documentum, or similar document management systems.
- It would be great if you have an understanding of document control standards, quality management systems, and audit requirements.
- It would be great if you've supported project delivery teams in a fast-paced operational environment.
- A qualification in Business Administration, Information Management, or a related discipline would be advantageous.
