We are a small but rapidly growing accountancy practice looking for an Operations Administrator to keep the office running smoothly and support our client-facing team. This is a VERY broad, hands-on role at the heart of the practice - ideal for someone who enjoys variety, takes ownership, and works well without close supervision. We offer hybrid and flexible working: a mix of office and remote days, with hours we can shape around the right person.
Key responsibilities
- Manage day-to-day office operations, including correspondence, filing, customer liaisons, and some accountancy related duties.
- Act as first point of contact for client and supplier enquiries by phone and email, handling them professionally or routing them to the right person
- Maintain client records and onboarding: set up new clients, collect engagement letters and ID/AML documentation, and keep records accurate and up to date
- Support the accounting team with administrative tasks — scheduling, deadline tracking (e.g. VAT, payroll, self-assessment, year-end), and chasing outstanding client information
- Manage practice management and accounting software (e.g. Xero, QuickBooks, or similar), keeping data and workflows organised
- Support basic bookkeeping and credit control
- Coordinate diaries, meetings, and internal deadlines across the team
- Maintain data protection and confidentiality standards (GDPR, AML/KYC compliance)
- Identify and implement improvements to office processes and systems
- Take owenership of some marketing and contribute towards business growth
About you
- Administrative or office experience, ideally in a professional services or accountancy environment
- Highly organised, with strong attention to detail and the ability to juggle competing deadlines
- Confident communicator, comfortable dealing directly with clients
- Proficient with Microsoft Office and cloud-based software; experience with accounting or practice management systems is a strong advantage
- Discreet and trustworthy when handling confidential financial information
- Self-motivated and able to work independently in a hybrid setup
- Comfortable in a small-team environment where roles are broad and priorities shift
- Willing to be proactive and contribute to future growth
Desirable
- Experience with accounting software (Xero, QuickBooks, Sage, or similar)
- Familiarity with AML/KYC processes
- Bookkeeping knowledge or relevant qualification (e.g. AAT part-qualified)

Pay: £15.00-£18.00 per hour
