We are a dynamic and forward-thinking clinic specialising in the relief and management of pain. Our approach is to offer meaningful healing by combining a whole range of therapies from state-of-art ones like Photobiomodulation & LPG Endermologie to conventional modalities such as Manual Therapy & Physiotherapy and traditional treatments such as Acupuncture and Ayurveda. We combine our service offerings with Lifestyle Programmes such as Yoga & Tai chi, Fitness & Nutrition and Health Screening solutions such as Blood Tests & Body Composition.
We are entering an exciting phase of growth and digital transformation and are looking for a highly organised, proactive and technology-minded Clinic Reception Officer to ensure that clients visiting our clinic enjoy a high-quality patient journey experience working closely with our talented and highly skilled team of expert clinicians.
This is not a traditional receptionist’s role. We are seeking someone who enjoys improving systems, works well with technology and wants an active role in helping a growing wellness business operate efficiently.
Required:
Essential
· Previous experience in a front facing roles in reception, administration, hospitality, health clinics or customer service.
· Excellent communication and interpersonal skills.
· Strong organisational skills and attention to detail.
· Comfortable working in a fast-paced environment.
· Good IT skills and confidence using software systems.
· Positive, proactive and solution-focused attitude.
· Ability to multitask and prioritise effectively.
Desirable
· Work experience in a healthcare, wellness, fitness or hospitality environment.
· Familiar with CRM systems and booking software.
· Interest in technology, automation and Artificial Intelligence.
· Good working knowledge of Excel and Data Analytics.
Key Responsibilities
i. Customer Service & Client Experience
Deliver an exceptional client experience from initial enquiry through to treatment completion. Manage reception activities, appointments, calls, emails and client follow-ups while encouraging repeat bookings, client retention and positive reviews. Ensure all client queries and concerns are handled professionally and efficiently.
ii. Sales & Business Support
Support clinic revenue growth by promoting therapies, treatment packages, memberships and retail products. Assist with lead management, enquiry conversion, marketing campaigns, local outreach activities and community engagement initiatives.
iii. Administration & Office Management
Maintain accurate client records and clinic databases, process payments and invoicing, support sales tracking and reporting, and assist with general administrative and operational tasks.
iv. Clinic Operations, Housekeeping & Facilities
Keep the clinic clean, organised and maintained to a high professional standard. Ensure treatment rooms are ready for use, manage supplies and consumables, coordinate housekeeping, and report or resolve facilities and maintenance issues promptly.
v. Technology & AI
Use clinic software, CRM systems and digital tools effectively while supporting the implementation of automation, AI solutions and process improvements. Assist with data management, reporting and productivity initiatives.
vi. Therapy Knowledge
Develop a strong understanding of Omnia's therapies, treatments and health screening services and confidently communicate their benefits to clients. Support promotional activities and help increase awareness and uptake of key services.
