Part-Time Administrator & Procurement Coordinator

Hours
Part-Time (20 hours per week – Tuesday / Wednesday / Thursday)
Role Purpose
To provide efficient administrative support across the business while managing procurement activities, ensuring goods and services are sourced cost-effectively, suppliers are managed effectively, and operational records are maintained accurately.
Key Responsibilities
Administration
- Provide general administrative support to management and staff.
- Maintain electronic and paper filing systems.
- Prepare correspondence, reports, presentations, and meeting minutes.
- Manage incoming calls, emails, and enquiries.
- Schedule meetings and coordinate diaries where required.
- Maintain company records, databases, and documentation.
- Assist with health & safety, compliance, and policy administration.
Procurement
- Source products, materials, and services from approved suppliers.
- Obtain and compare supplier quotations.
- Raise purchase orders and track deliveries.
- Monitor stock levels and coordinate replenishment.
- Maintain supplier records and pricing information.
- Resolve supplier queries and delivery issues.
- Identify opportunities for cost savings and process improvements.
- Ensure procurement activities comply with company policies and budgets.
Finance Support
- Match purchase orders, delivery notes, and invoices.
- Assist with invoice processing and expense administration.
- Support budget monitoring and procurement reporting.
- Maintain accurate purchasing records.
Skills & Experience
Essential
- Previous experience in administration, procurement, purchasing, or office coordination.
- Strong organisational and time-management skills.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- High level of accuracy and attention to detail.
- Ability to manage multiple priorities independently.
Desirable
- Experience using procurement or ERP systems.
- Knowledge of supplier management and contract administration.
- Experience in finance or accounts administration.
- CIPS qualification or working towards one.

Salary
£14–£18 per hour (depending on experience)
