Pharmacy Group Manager / Superintendent Support Pharmacist (Operations, Governance & NHS Services Lead) Role Summary We are seeking an experienced and highly organised Pharmacist Manager to oversee the day-to-day operational, professional, and regulatory running of a growing independent pharmacy group. This is a senior leadership role focused on ensuring safe, efficient, compliant, and commercially effective pharmacy operations across the business, while supporting the Superintendent Pharmacist and wider clinical team. The successful candidate will take ownership of routine pharmacy management, NHS contractual delivery, staff leadership, operational governance, dispensary oversight, and regulatory compliance. The Superintendent Pharmacist and owner will remain clinically and strategically involved, particularly for specialist clinics and overarching governance. However, the Pharmacy Group Manager will be expected to independently manage the daily running of the pharmacies and coordinate the wider team. Key Responsibilities Operational Pharmacy Management Oversee the day-to-day running of the pharmacy/pharmacies Ensure safe and efficient dispensary workflow and operational continuity Lead and support pharmacists, technicians, dispensers, counter staff, and delivery teams Manage staffing rotas, annual leave, sickness cover, and workforce planning Ensure adequate staffing levels and skill mix at all times Support recruitment, onboarding, training, and staff development Maintain high professional standards across all pharmacy activities Troubleshoot operational issues proactively and escalate where appropriate Support implementation of new pharmacy services, systems, and operational improvements NHS Services & Contract Delivery The role holder will oversee and ensure compliant delivery of all NHS contractual obligations and commissioned services, including but not limited to: Pharmacy First Hypertension Case Finding Service New Medicine Service (NMS) Contraception Service Flu & seasonal vaccination services CPCS or locally commissioned services where applicable Emergency supply services Smoking cessation services Substance misuse services (where applicable) Responsibilities include: Monitoring service activity and targets Ensuring accurate claims and submissions Maintaining service paperwork and audit trails Supporting staff competency and accreditation Ensuring services remain compliant with NHS England and ICB requirements Managing NHSBSA submissions and reconciliation processes Clinical Governance & Patient Safety The Pharmacy Group Manager will play a key role in maintaining and strengthening clinical governance systems throughout the organisation. Responsibilities include: Supporting implementation and monitoring of governance frameworks Ensuring SOP compliance and regular SOP reviews Managing incident reporting, near misses, and patient safety reviews Supporting root cause analysis investigations where required Coordinating governance meetings and action plans Ensuring robust documentation standards across the pharmacy Monitoring patient safety alerts, recalls, and MHRA communications Supporting audit programmes and quality improvement initiatives Assisting with GPhC inspection readiness and ongoing compliance Promoting a positive patient safety culture within the team Regulatory & Compliance Responsibilities The successful candidate will support regulatory compliance across all pharmacy operations, including: GPhC standards compliance NHS contractual compliance Controlled Drug governance Responsible Pharmacist requirements Record keeping and audit trails Information governance and confidentiality DSP Toolkit coordination and compliance GDPR-related pharmacy procedures Safeguarding processes and staff training compliance Risk assessments and business continuity procedures Health & safety compliance Fridge monitoring, date checking, and stock governance systems Management of pharmacy policies and procedures SOP & Documentation Management Maintain and update SOPs in line with operational and regulatory changes Ensure staff training and SOP sign-off completion Support implementation of digital governance systems Maintain governance records and compliance documentation Coordinate document reviews and version control Assist with pharmacy inspection preparation and evidence gathering Financial & Administrative Responsibilities Oversee end-of-month pharmacy processes and NHS submissions Support prescription pricing accuracy and reimbursement processes Monitor service claims and supporting evidence Liaise with wholesalers, NHS bodies, and external contractors where needed Assist with stock control and purchasing oversight Support business reporting and operational KPI monitoring Leadership & Team Development Lead by example and maintain a strong professional presence Support performance management and staff accountability Encourage ongoing learning and professional development Maintain high morale and effective communication within the team Foster a culture of professionalism, ownership, and continuous improvement Essential Requirements Registered Pharmacist with the General Pharmaceutical Council Significant experience managing a community pharmacy Strong understanding of NHS community pharmacy contracts and services Excellent knowledge of pharmacy governance and regulatory standards Experience managing pharmacy teams and operational workflows Strong organisational and leadership skills Confident handling inspections, audits, and compliance matters Competent with PMR systems and digital pharmacy platforms Strong communication and problem-solving abilities Desirable Experience Multi-site pharmacy management experience Experience with independent pharmacies Familiarity with DSP Toolkit and information governance systems Experience implementing operational improvements and governance systems Independent Prescribing qualification (desirable but not essential) Experience with private services and clinic operations Reporting Structure Reports directly to the Superintendent Pharmacist / Owner Responsible for operational leadership of pharmacy teams Works alongside clinical pharmacists and service leads Role Objective To ensure the pharmacy group operates safely, compliantly, efficiently, and professionally on a day-to-day basis, allowing the Superintendent Pharmacist and clinical leads to focus on strategic development and specialist clinical services while maintaining robust operational governance and NHS contractual compliance throughout the business.
