About the Role
Care and Horizon Ltd traded as Luma Education is looking for a highly organised and detail-oriented Center Administrator to join our team at the Willesden center. This is a pivotal role within our Center management team, responsible for the smooth day-to-day running of the center — from reception and diary management to financial administration and record-keeping. You'll be the first point of contact for students, parents, and staff, and a key part of ensuring an efficient, welcoming, and well-run environment for everyone who walks through our doors.

Key Responsibilities
Reception & Communication
- Answer and manage incoming calls professionally, directing queries to the right team members
- Take accurate messages and respond to routine enquiries in a timely manner
- Act as the primary point of contact for student, parent, and staff enquiries
Appointment & Diary Management
- Coordinate and book appointments for staff and parents
- Manage calendars to avoid scheduling conflicts and ensure efficient use of team time
Financial Administration
- Assist with basic financial tasks, including processing invoices, tracking petty cash, and supporting budget monitoring
- Prepare simple financial summaries as required
Support for Universal Credit Parents
- Act as a point of contact for parents in receipt of Universal Credit, addressing enquiries with empathy and professionalism
- Assist in scheduling appointments related to employment, training, or childcare support
- Maintain accurate records of interactions in line with data protection and confidentiality policies
Enrolment & Records Management
- Coordinate enrolment processes and maintain up-to-date student records
- Organise and maintain physical and electronic filing systems, ensuring documents are stored securely and are easily retrievable
- Archive outdated records in line with organisational policy
General Administrative Support
- Support the preparation and distribution of educational materials and communications
- Help organise center events, meetings, and workshops
- Maintain office supplies inventory and manage procurement
- Provide general admin support including photocopying, scanning, and preparing correspondence
- Ensure office equipment is well-maintained
What We're Looking For
- Proven experience in an administrative role, ideally within education or a related field
- Excellent organisational skills and the ability to multitask
- Strong written and verbal communication skills
- Proficiency in MS Office and general database/record-keeping systems
- Ability to handle confidential information with discretion
- A proactive, customer-service-oriented approach to problem-solving
- High school diploma required; further education in administration or education is a plus

Responsibilities
- Greet visitors, clients, and staff with professionalism and courtesy, ensuring a positive first impression.
- Manage incoming calls with excellent phone etiquette, directing inquiries to the appropriate departments or personnel.
- Maintain organized records through data entry, filing, and updating databases using Microsoft Office, Google Workspace, and QuickBooks as needed.
- Assist with scheduling appointments, meetings, and events to ensure smooth daily operations.
- Support office functions by handling correspondence, preparing reports, and managing supply inventory.
- Perform clerical tasks such as photocopying, scanning, and mailing documents efficiently.
- Ensure the center remains organized by maintaining cleanliness and orderliness of common areas.
Requirements
- Proven office experience with strong organizational skills and attention to detail.
- Proficiency in computer skills including Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Docs).
- Previous administrative experience or clerical experience is highly preferred.
- Excellent phone etiquette with the ability to communicate clearly and professionally.
- Strong typing skills for efficient data entry and document preparation.
- Familiarity with office equipment such as printers, scanners, and fax machines.
- Ability to multitask effectively in a fast-paced environment while maintaining accuracy.
