About the Role
Browns Estate Agents are looking for an experienced, highly motivated and professional Lettings Negotiator to join our growing team.
We are looking for someone with proven experience in residential lettings who can confidently manage their own workload, build relationships with landlords and tenants, generate new business and provide exceptional customer service from instruction through to tenancy management.
This is a varied and rewarding role covering every aspect of residential lettings. The successful candidate will play a key role in growing our managed portfolio whilst ensuring our landlords and tenants receive the highest level of service.
Key Responsibilities
- Carry out rental market appraisals (valuations) and convert instructions.
- Proactively generate new business and secure new landlord instructions.
- Build and maintain relationships with existing and prospective landlords.
- Conduct property viewings with prospective tenants.
- Prepare and complete tenancy set-ups from start to finish.
- Process tenant applications and oversee the referencing process.
- Liaise with landlords and tenants throughout the letting process.
- Prepare tenancy agreements and all associated documentation.
- Carry out property inventories using Inventory Base.
- Conduct routine property inspections and prepare detailed reports.
- Carry out check-outs and negotiate deposit deductions where appropriate.
- Manage tenancy renewals and rent reviews.
- Deal with rent arrears and proactively recover outstanding balances.
- Instruct and monitor maintenance contractors.
- Advertise available properties across Rightmove, Zoopla, OnTheMarket and other property portals.
- Create engaging property marketing, including photography, video walkthroughs and social media content.
- Produce professional property videos and present confidently on camera.
- Manage and maintain Browns Estate Agents' social media platforms, ensuring properties receive maximum exposure.
- Assist with marketing campaigns designed to attract new landlords and tenants.
- Carry out canvassing and business generation activities to increase market share.
- Request and secure Google Reviews and ESTAS reviews from landlords and tenants to maintain Browns' outstanding reputation.
- Ensure all compliance requirements are met, including Right to Rent, EPCs, Gas Safety Certificates, Electrical Safety Certificates and Smoke/Carbon Monoxide Regulations.
- Keep accurate records using the company's CRM and lettings software.
- Respond to telephone, email and face-to-face enquiries professionally.
- Build and maintain excellent relationships with landlords, tenants, contractors and professional contacts.
- Deliver exceptional customer service at every stage of the lettings process.
Essential Requirements
- A minimum of 2 years' experience in residential lettings.
- Proven experience carrying out rental market appraisals and winning new instructions.
- Excellent knowledge of current lettings legislation and compliance requirements.
- Experience carrying out inventories, inspections and check-outs.
- Experience managing rent reviews, rent arrears and maintenance issues.
- Excellent communication and customer service skills.
- Strong negotiation and closing skills.
- Confident creating engaging social media content and property marketing.
- Comfortable presenting to camera and creating professional property video tours.
- Good knowledge of Facebook, Instagram, TikTok and other social media platforms.
- Strong organisational and time management skills.
- Ability to work independently and use initiative.
- Professional appearance and manner.
- Good IT skills.
- Full UK driving licence.
- Access to a vehicle for business use.
Desirable Skills
- ARLA Propertymark qualification (or willingness to work towards one).
- Experience using Jupix, Inventory Base, PayProp or similar property software.
- Sales and business development experience.
- Experience in dispute resolution and deposit negotiations.
Key Performance Indicators (KPIs)
The successful candidate will be expected to work towards the following performance standards:
- Generate new landlord instructions through proactive business generation and networking.
- Achieve and maintain a high conversion rate from rental valuation to instruction.
- Grow Browns Estate Agents' managed portfolio each month.
- Ensure all property inspections are completed on time and reports uploaded within 24 hours.
- Complete inventories and check-outs accurately and within company timescales.
- Maintain rent arrears at or below company targets through proactive management.
- Achieve 100% compliance across the managed portfolio.
- Respond to landlord and tenant enquiries promptly and professionally.
- Produce regular high-quality social media content, including property videos and marketing campaigns.
- Maximise exposure for all available properties across portals and social media.
- Obtain positive Google Reviews and ESTAS reviews from landlords and tenants each month.
- Maintain excellent landlord retention through outstanding customer service.
- Work towards monthly, quarterly and annual lettings targets.
- Demonstrate professionalism, initiative and a willingness to contribute to the continued growth of Browns Estate Agents.

Working Hours
Monday to Friday: 9.00am – 5.00pm
Occasional Saturday working on a rota basis, with time off in lieu.
The Ideal Candidate
This role would suit an experienced lettings professional who enjoys winning new business, building long-term relationships and delivering exceptional customer service. You'll be confident carrying out rental valuations, managing your own portfolio, handling tenancy issues, creating engaging marketing content and using social media to maximise exposure for our landlords.
