Bounds Green Group Practice is a busy, well-established GP practice in Haringey, North London, serving a diverse population of approximately 19,000 patients.
We are looking for a highly organised, proactive and reliable Personal Assistant to the Practice Manager to provide direct administrative, organisational and project support.
This is a varied role supporting the Practice Manager with day-to-day administration, meeting preparation, agendas, note taking, transcribing meeting notes, typing and formatting documents, completing forms, maintaining trackers, ordering stock, organising records and following up actions.
The role will also involve supporting the Practice Manager with forward planning, project coordination, performance management administration and change-related work. This may include helping to track deadlines, prepare documents, gather information, maintain action plans, support improvement projects and assist with the organisation of practice priorities.
The successful candidate will be confident using Microsoft Word, Excel, Outlook and general office systems. They will need excellent attention to detail, strong communication skills, discretion, confidentiality and the ability to manage a varied workload in a busy GP practice environment.
This role would suit an experienced administrator, PA, Executive Assistant, office administrator or project support administrator who enjoys being organised, working proactively and supporting a busy manager.
Main duties will include:
- Providing PA and administrative support to the Practice Manager
- Preparing agendas, meeting papers, minutes and action logs
- Taking and transcribing meeting notes, voice notes or handwritten notes
- Typing, formatting and preparing letters, reports, forms, templates and staff communications
- Completing documents and forms using information provided by the Practice Manager
- Maintaining spreadsheets, trackers, records, logs and action plans
- Supporting forward planning by helping to track deadlines and agreed actions
- Assisting with project coordination and change-related administration
- Supporting performance management administration, including preparing paperwork for supervision, appraisal, probation or review meetings
- Ordering office, clinical and general practice supplies when required
- Liaising with suppliers regarding orders, deliveries and stock queries
- Organising electronic and paper folders
- Gathering information for audits, checks, reports, reviews or practice records
- Liaising professionally with staff, suppliers, contractors and external organisations
- Handling confidential and sensitive information appropriately
Essential requirements:
- Excellent organisational and time management skills
- Strong written and verbal communication skills
- Good attention to detail and accuracy
- Good IT skills, including Microsoft Word, Excel, Outlook and general office systems
- Experience preparing documents, typing correspondence or completing forms
- Experience organising meetings, preparing agendas, taking notes or producing action logs
- Experience maintaining spreadsheets, trackers, records or filing systems
- Ability to manage competing priorities and deadlines
- Professional, discreet and confidential approach
Desirable:
- Previous experience in an administrative, PA, Executive Assistant, office administrator or senior administrative support role
- Previous NHS, primary care or GP practice experience
- Experience using EMIS, Docman or other NHS systems
- Experience supporting a Practice Manager, senior manager or busy office
- Experience supporting project coordination, service improvement or change administration
- Experience with recruitment, induction, appraisal, probation or training administration
- Understanding of confidentiality, GDPR and information governance requirements

Please note this is an Personal Assistant role supporting the Practice Manager with administrative, organisational, project and planning work. It is not an Assistant Practice Manager role and does not carry independent staff management or final operational decision-making responsibility.

Pay: £30,000.00-£33,696.00 per year
