Salary: £13.50 p/h
Hours: 10am-3pm [1hr unpaid break] 20 hours
Job Summary:
We are seeking a proactive and experienced Administrative Assistant to provide high-quality support within our care home. Working closely with the Office Manager and Care Home Manager, you will play a key role in maintaining smooth administrative operations, ensuring accurate record-keeping, and supporting staff, residents, and families in a professional and compassionate manner.

Key Responsibilities:
- Provide day-to-day administrative support to the Office Manager, Care Home Manager, and wider team.
- Maintain and update confidential records, including resident information, staff files, and care documentation, in line with GDPR and safeguarding policies.
- Support with recruitment administration: processing applications, arranging interviews, completing DBS checks, and preparing onboarding paperwork.
- Assist with rota management, sickness and absence tracking, and maintaining timesheets.
- Liaise with residents’ families and external professionals with courtesy, professionalism, and discretion.
- Support financial administration, including petty cash handling, invoice processing, and recording resident fee payments under supervision.
- Answer incoming phone calls and manage the front desk, providing a warm and professional first point of contact for visitors.
- Help prepare for audits and inspections, ensuring that required documentation is complete and up to date.
- Order office and care supplies, track stock levels, and liaise with suppliers.
- Contribute to the overall effectiveness of the care home by supporting with ad hoc tasks and projects as required.
Essential Skills and Qualifications:
- Previous experience in an administrative role, ideally within a care, healthcare, or regulated setting.
- Excellent organisational skills and the ability to manage multiple priorities.
- High level of accuracy and attention to detail in written and electronic records.
- Proficient in Microsoft Office 365 (Word, Excel, Outlook); familiarity with care management software is a plus.
- Strong verbal and written communication skills.
- A compassionate, approachable, and professional manner with a strong sense of confidentiality.
- Ability to work independently as well as collaboratively in a team environment.
- Good time management stills and know how to prioritise work load
- Efficient communication skills and an excellent telephone and email manner
- Strong organisational skills
- Care Vision experience.
- Ability to multitask
- Attention to detail to ensure accuracy and quality in all aspects of work
- Being adaptable, flexible and show a willingness to learn
- Knowledge of medical/healthcare aspects would benefit but not essential as training will be given
Desirable:
- NVQ Level 2 or 3 in Business Administration or a related field.
- Knowledge of CQC requirements and understanding of safeguarding and data protection in a care setting.
- Familiarity with rota systems, payroll data handling, or finance administration is advantageous.
