Job Purpose
The Project Administrator is responsible for supporting the delivery of equipment projects from initial survey through enabling works and installation. The role involves tracking project progress, coordinating activities between internal and external stakeholders, maintaining accurate project documentation, and ensuring projects move efficiently through each stage of the delivery process.
The Project Administrator will act as a central point of communication for surveyors, contractors, installers, customers, and suppliers, helping to ensure projects are delivered safely, accurately, and on schedule.
Key Responsibilities
Project Tracking & Coordination
- Maintain project trackers and schedules for surveys, enabling works, installations, and project completions.
- Monitor project progress against planned dates and escalate delays or issues where appropriate.
- Coordinate activities between surveyors, contractors, installers, customers, and internal teams.
- Provide regular updates on project status and key milestones.
- Ensure project information is kept accurate and up to date within company systems.
Survey Administration
- Schedule and coordinate site surveys.
- Review survey submissions to ensure all required information has been captured.
- Maintain survey reports, drawings, photographs, and related documentation.
- Liaise with surveyors and customers to obtain additional information where required.
- Ensure survey outcomes are communicated to relevant stakeholders.
Enabling Works Coordination
- Track and coordinate all enabling works activities prior to installation.
- Liaise with suppliers and contractors to ensure works are completed within required timescales.
- Monitor completion of enabling works and update project records.
- Collect and store relevant certificates, photographs, and completion documents.
- Ensure all prerequisites are in place before installation is scheduled.
Installation Support
- Schedule installation activities with customers, contractors, and installation teams.
- Prepare installation packs and supporting documentation.
- Track installation progress and completion dates.
- Ensure installation sign-off documentation and completion records are received and filed correctly.
- Support project close-out and handover activities.
Documentation & Compliance
- Maintain accurate project records and filing systems.
- Manage project documentation and version control.
- Ensure all required project documentation is completed and stored correctly.
- Support compliance with company procedures and health and safety requirements.
- Assist with audit requirements and information requests.
Reporting & Administration
- Produce project status reports and updates.
- Maintain databases and reporting systems.
- Monitor key project metrics and produce information for management review.
- Process project-related correspondence and documentation.
- Support continuous improvement of administration and project tracking processes.
Skills & Experience
Essential
- Previous experience in an administration, coordination, or operational support role.
- Strong organisational and planning skills.
- Excellent attention to detail.
- Proficient in Microsoft Excel, Word, Outlook, and Teams.
- Strong communication skills, both written and verbal.
- Ability to manage multiple priorities and deadlines.
- Experience maintaining trackers, databases, and project records.
Desirable
- Experience within a technical services, construction, facilities management, engineering, or installation environment.
- Understanding of survey, enabling works, and installation processes.
- Experience using project tracking or workflow management systems.
- Knowledge of health and safety documentation and compliance processes.
