Job Description – IFA Adviser Support Administrator
Haworths Financial Services is seeking an experienced IFA Adviser Support Administrator to join our growing team.
This role is suited to someone currently working, or who has previously worked, within an Independent Financial Adviser (IFA), Financial Planning or Wealth Management practice. Applicants should have a strong understanding of the financial planning process and be confident supporting Advisers with pensions, investments and protection business.
We are specifically looking for an individual with previous IFA administration experience who can manage client servicing, provider interactions and new business processing in a fast-paced, client-focused environment. Applicants without previous IFA or Financial Planning experience are not suitable for this position.
The Adviser Support Administrator's primary role is to support Advisers in delivering an exceptional level of service, allowing them to focus on providing high-quality financial advice while ensuring clients receive a professional and efficient experience at all times.
Key Responsibilities
- Acting as a professional point of contact for clients via telephone, email, Teams and face-to-face meetings.
- Managing client queries and providing excellent customer service.
- Providing administrative support to Financial Advisers and the wider office.
- Preparing and coordinating Annual Reviews, including gathering information and producing review packs.
- Drafting client correspondence, letters and emails to providers and third parties.
- Ensuring client files and records remain compliant and up to date in line with FCA requirements and internal procedures.
- Assisting Paraplanners and the wider Paraplanning team with case preparation and administration.
- Processing and servicing client requests efficiently and accurately.
- Preparing new client packs and onboarding documentation.
- Obtaining and collating information from pension providers, investment platforms and insurance companies.
- Processing new business applications across pensions, investments and protection products.
- Managing Adviser diaries, appointments and meeting arrangements, taking account of travel requirements and scheduling.
- Updating and maintaining accurate client records on internal systems.
- Developing and maintaining a working knowledge of XPLAN, Logdin, Dynamic Planner and provider platforms.
- Supporting general office administration and business operations as required.
- Undertaking any other reasonable duties in support of the advisory team.
Essential Skills & Experience
Essential
- Minimum 2 years' experience working within an Independent Financial Adviser (IFA), Financial Planning or Wealth Management firm (required).
- Experience supporting Financial Advisers with pensions, investments and protection products.
- A strong understanding of the end-to-end financial planning process.
- Proven experience processing new business and servicing existing clients.
- Experience dealing with pension providers, investment platforms and insurance companies.
- Knowledge of FCA-regulated environments and client file requirements.
- Experience using adviser back-office systems and provider platforms.
- Excellent organisational and time-management skills.
- Strong attention to detail and accuracy.
- Professional communication skills, both written and verbal.
- Ability to prioritise workloads and work effectively in a busy environment.
Desirable
- Experience using XPLAN, Logdin and Dynamic Planner.
- Knowledge of pension transfers, investments and protection planning.
- CII qualifications or a willingness to study towards industry qualifications.
